The Company

Job Purpose

The Administration Assistant provides high-quality administrative and clerical support to ensure the efficient day-to-day operation of the office. This role supports multiple stakeholders, contributes to smooth business processes, and delivers professional customer service to both internal and external contacts.

Travel Requirements

Up to 5%.

Job Duties and Responsibilities

Assist with processing vendor and intercompany invoices, ensuring accurate allocation to the general ledger against the correct budget account and sales/internal orders.
Provide general administrative support by completing assigned tasks and responsibilities to ensure efficient office operation and presentation, such as; event catering, stationary, company apartment, car park register, office equipment and facilities maintenance, security cards, reception monitoring and mail.
Answer and direct phone calls, emails and general enquiries in a professional and timely manner.
Coordinate meetings, travel arrangements and meeting room bookings.
Prepare correspondence, reports, presentations and spreadsheets as required.
Maintain accurate electronic and hard copy filing systems and registers.
Assist with onboarding documentation and general HR administrative tasks as required.
Assist with internal communications and distribution of information.
Ensure compliance with company policies, procedures and EHS requirements.
Provide ad hoc administrative support to managers and team member as required.
Effective and efficient use of business systems such as SAP, Maxims, Harvest, Share Point and Concur
Collaborate across MTS to achieve shared goals and customer outcomes.
Comply with all legislative, corporate and site specific requirements.
Demonstrate visible safety leadership, reinforcing that safety is our highest priority and that "zero accidents' is achievable.

Required Skills

Certificate III in Business Administration or equivalent experience.
Previous experience in an administration or office support role.
Strong organisational and time management skills.
High attention to detail and accuracy.
Proficient in Microsoft Office (Outlook, Word, Excel, Teams, SharePoint).
Excellent written and verbal communication skills.
Ability to manage competing priorities and work independently.
