Business Unit Overview
Superloop’s broader Legal & Corporate Services business unit is a small but influential team comprising Lawyers, People & Culture, WHS, as well as Regulatory, Government Affairs and Compliance professionals. The team supports all aspects of the business, managing exciting and complex matters ranging from technology development and commercialisation to sales agreements with corporate customers across broadband, telecommunications and managed services.
The Regulatory, Government Affairs and Compliance stream focuses on optimising the regulatory and government environment to enable Superloop’s continued success, while further maturing compliance processes that are integral to achieving our operational and strategic objectives.
Role Purpose
We are looking for an administrator to join our Legal & Corporate Services team and provide high-quality administrative support across governance, Board and corporate services activities.
This is a role for someone who is highly organised, detail-oriented and confident working with senior stakeholders. You will support the Chief Legal & Corporate Officer, Deputy Company Secretary, Board and Board Committees, helping ensure meetings, documentation, reporting and governance activities run smoothly and efficiently.
The role is fast-paced and varied, requiring a high level of accuracy, discretion and initiative. You will be trusted to manage competing priorities, stay ahead of deadlines and ensure important administrative processes are completed to a high standard.
Key Responsibilities
Provide high-quality administrative support to the Company Secretarial team, Board and Board Committees.
Coordinate Board, Committee and Shareholder meetings, including meeting logistics, invitations, agendas, papers and follow-up activities.
Assist with the annual Board and Committee cycle, corporate calendar and meeting schedules.
Coordinate the preparation and distribution of Board and Committee papers within required deadlines.
Upload and manage documents through the Board's electronic portal, including Diligent.
Coordinate meeting presenters and assist with meeting preparation.
Organise physical and virtual meeting requirements, including room set-up, technology and post-meeting close-down.
Maintain accurate electronic files, meeting packs, registers and corporate records.
Edit and format presentations, reports, papers and minutes to a high professional standard.
Coordinate meetings and appointments for the Company Secretary and assist with preparing relevant materials.
Assist the Company Secretarial team with governance processes, policies and corporate documentation.
Assist with document execution processes and the preparation of execution bundles.
Maintain and monitor the Corporate Board and Committee Calendar.
Provide broader administrative support to the Legal & Risk team, including Legal, Regulatory and Compliance stakeholders.
Handle confidential and sensitive information with a high level of discretion and professionalism.
Take ownership of administrative tasks and proactively identify ways to improve processes and support the wider team.
Qualifications and Experience
2 - 3 years' experience in an administration role.
Strong organisational skills and the ability to manage multiple priorities and deadlines.
Confident working with senior stakeholders and providing professional, responsive administrative support.
Excellent attention to detail, accuracy and follow-through.
Strong written and verbal communication skills.
Proactive and solutions-focused, with the initiative to anticipate what needs to be done and take ownership.
Comfortable handling confidential and commercially sensitive information with discretion.
Strong Microsoft Word and PowerPoint skills, with the ability to prepare and format professional documents and presentations.
Desired
Experience supporting legal, company secretarial, governance, Board or C-suite functions is highly regarded.
Experience in corporate services or professional services.
Experience coordinating meetings, preparing documentation, managing calendars or supporting senior executives would be advantageous.
Experience with electronic Board portals such as Diligent would be advantageous.
