Primary objective
Provide a high level of confidential, administrative and secretarial support, including management of the daily business of
the Executive Director and extended co-ordination and support to the Enterprise Project Services branch.

Context statement
Enterprise Project Services (EPS) leads whole-of-Department project and contract-management excellence through integrated
frameworks, systems, and culture. EPS brings together four specialist business units – Project and Contract Administration,
Contractor Compliance, Program Solutions (Data and Reporting), and the PMO – to enable delivery excellence, governance
assurance and continuous improvement across the Department’s infrastructure programs.

Key duties and responsibilities
1. Provide executive level assistance to the Executive Director, including drafting correspondence, following up on actions,

preparation of minutes, coordination of meeting papers, monitoring a number of email accounts, screening of telephone
calls and visitors, electronic diary management, and records management.

2. Coordinate and assist in the preparation of Legislative Assembly Briefs, Ministerial and Cabinet Submissions, meeting
papers and briefings, general correspondence and reports.

3. Provide records management support to the Branch and track all requests for information to ensure timeframes are met.
4. Purchase goods and services for the Branch, including office supplies and meeting and events venues and assist with

the coordination of the Branch’s financial and budget information.
5. Develop and maintain strong relationships with all levels of staff within the Department and external agencies and

organisations.
6. Provide support as required to the Directors and staff in the Branch and assist in the day to day operations of the Branch.

Selection criteria
Essential
1. High level of interpersonal skills with a flexible attitude and ability to adapt to change.
2. High degree of verbal and written communication skills with a high level of accuracy, attention to detail and

demonstrated experience in preparing correspondence.
3. Reliable, highly motivated and able to work within a team environment and without direct supervision.
4. Demonstrated high level of diplomacy, integrity, confidentiality and tact in dealing with a range of individuals and

organisations within all levels of government and outside organisations.
5. Organisational skills of a high order with the ability to set priorities, work under pressure, plan for alternatives and

complete tasks within required timeframes.
Desirable
1. Experience with purchasing goods and services.
2. Knowledge and understanding of procedures involved in processing Ministerial correspondence, Cabinet Submissions

and Legislative Assembly Briefings to required standard.
