Primary objective
Provide proactive high level executive administrative service and project support to the Commissioner, including providing support
with reporting and ministerial correspondence. Undertake research and ad-hoc projects as required by the Commissioner and
Executive team.
Context statement
The Commissioner for Public Employment is the statutory employer of all employees in the Northern Territory Public Sector (NTPS).
The Office of the Commissioner for Public Employment (OCPE) monitors the employment environment to develop innovative and
sustainable contemporary NTPS employment frameworks. The Executive team is responsible for supporting the Commissioner and
office staff to meet the Office’s corporate and business strategic and operational objectives.
Key duties and responsibilities
1. Manage the Commissioner’s emails, diary and day-to-day movements including prioritising workload, meetings, events and
travel, as well as travel and invoice management, liaising with stakeholders at all levels.
2. Ensure the effective flow of information, requests, and communications are properly recorded and managed for the Office,
whilst maintaining effective security over confidential and sensitive records and documentation.
3. Provide support to the Executive Officer, Director Executive Services and office staff with ministerial correspondence whilst
maintaining quality control.
4. Identify and contribute to the development, implementation and maintenance of streamlined administrative processes,
procedures and systems to support the effective operations to ensure consistency across the office.
5. Undertake research and ad-hoc projects as required, including supporting OCPE working groups and committees through
provision of secretariat services.
6. Manage a corporate credit card in accordance with NT Government policy.
Selection criteria
Essential
1. Demonstrated experience in providing a range of high- level executive, secretarial, IT and broad administrative support services
in a fast paced and dynamic environment.
2. Demonstrated personal, interpersonal, written, and oral communication skills to communicate professionally, tactfully and
effectively at all levels, with the ability to handle confidential and sensitive matters.
3. Self-motivated and adaptable with strong time management skills and the ability to manage multiple projects and work
activities effectively in a high-volume work environment with competing demands and priorities.
4. Demonstrated ability to work within a team environment, the ability to act autonomously and with initiative and work outside
normal hours of business when required.
5. Ability to use initiative, judgment and learn quickly in a changing environment to make recommendations regarding appropriate
action to senior officers.
6. Ability to anticipate needs of the agency and senior officers while being innovative and flexible to achieve outcomes.
Desirable
1. Experience with NT Public Sector systems including Content Records Manager, Travel Request Information Processing System,
Electronic Credit Management System and Electronic Invoice Management System.
2. Demonstrated knowledge and understanding of relevant financial, procurement and human resource legislation including
Financial Management Act, Public Sector Employment and Management Act, Procurement Regulations and Information Act.
