Job Description
Atwell is seeking a highly organized, proactive, and detail-oriented Technology Administrative Assistant to provide executive, operational, and coordination support to the Vice President of Technology and the Technology Leadership Team.
This individual will serve as a trusted partner to Technology leadership, helping manage competing priorities, coordinate departmental operations, facilitate communication, and support key meetings, projects, and strategic initiatives. The ideal candidate is resourceful, comfortable working in a fast-paced environment, and able to handle confidential information with professionalism and discretion.
Essential Functions and Responsibilities
Executive Support
Manage the Vice President of Technology’s calendar, including scheduling, prioritizing meetings, resolving conflicts, and coordinating logistics.
Coordinate travel arrangements, itineraries, accommodations, and expense reporting.
Prepare meeting agendas, presentations, reports, correspondence, and supporting materials.
Monitor and help prioritize communications, responding or coordinating follow-up on behalf of the Vice President when appropriate.
Track commitments, deadlines, decisions, and action items to support timely follow-through.
Anticipate administrative needs and proactively identify opportunities to improve organization and efficiency.
Technology Leadership Team Support
Coordinate Technology Leadership Team meetings, including scheduling, agenda development, material preparation, meeting documentation, and action-item tracking.
Support communication and collaboration between Technology, Operations, Corporate Services, and other internal stakeholders.
Assist with the preparation of leadership presentations, monthly reports, departmental updates, and executive communications.
Maintain visibility into key priorities and help ensure leadership teams remain aligned on upcoming deliverables and decisions.
Departmental and Operational Support
Support departmental planning, strategic initiatives, special projects, and recurring operational activities.
Maintain organizational charts, distribution lists, team documentation, departmental calendars, and other internal records.
Coordinate purchasing requests and related approval processes.
Assist with the administration and processing of technology-related invoices, vendor agreements, software renewals, licensing agreements, and lease contracts.
Maintain vendor and contract documentation, coordinate approvals, and track expiration and renewal dates.
Support departmental budget administration by tracking invoices, expenses, purchases, and expenditures.
Partner with internal teams to help resolve invoice, purchasing, vendor, and contract-related questions.
Communications and Documentation
Draft, edit, proofread, and format executive communications, presentations, reports, and other business materials.
Maintain confidential records, files, and sensitive information with a high degree of discretion.
Organize and maintain digital documentation repositories, meeting records, shared resources, and departmental files.
Ensure written communications and materials are accurate, consistent, professional, and aligned with Atwell standards.
Help establish and maintain organized processes for document management, information sharing, and departmental communication.
Required Qualifications
Associate degree or an equivalent combination of education and relevant experience.
Minimum of five years of administrative or executive support experience, including experience supporting senior leaders or executives.
Exceptional organizational, planning, prioritization, and time-management skills.
Strong written, verbal, and interpersonal communication skills.
Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
Ability to manage multiple priorities, deadlines, and stakeholders while maintaining accuracy and attention to detail.
Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
Strong judgment, initiative, and problem-solving skills.
Ability to work independently while building collaborative relationships across teams and levels of leadership.
Preferred Qualifications
Bachelor’s degree.
Experience supporting a technology, engineering, consulting, or professional services organization.
Experience with procurement, vendor management, invoice processing, budget tracking, and contract administration.
Familiarity with collaboration, documentation, or project management platforms such as Microsoft Teams, SharePoint, Jira, Confluence, or similar systems.
Experience supporting a leadership team or coordinating cross-functional departmental initiatives.
