Administration Assistant (Job Share) – Psychology Clinic

We are a busy Psychology Clinic based in the inner South Eastern Suburbs of Melbourne looking for an Administration Assistant to join our team. We are after a mature, responsible individual with great communication and customer service skills, who can work well under pressure. This is a part-time job share position over two days (flexible).

Some tasks and responsibilities may include:

Maintaining calendar, scheduling meetings, and booking appointments.
Replying to Bookkeepers, managing expenses, and bill-paying.
Helping to keep schedules and routines on track.
Sorting documents and materials into our online folder structure.
Answering telephone calls and taking detailed messages as required.
Proactively chasing up the required documentation and information as needed.
Liaising with third-party referrers (e.g., GPs, allied health providers, and agencies), nurturing ongoing relationships, and assisting with referrer communications and marketing initiatives.
Supporting the Clinic's marketing efforts through email updates, referral tracking, and assisting with the preparation and distribution of marketing materials.

You will need to have:

Ability to take initiative with little supervision, working both autonomously and collaboratively.
An uncompromising attitude towards discretion and confidentiality.
A keen eye for detail and accuracy with strong proofreading skills.
Sound organizational and time management skills with the ability to prioritize and reprioritize at short notice.
High-level problem solving, research/investigation, and analytical skills.

Desired Traits:

Previous experience in a similar role.
Ability to take initiative with little supervision working both autonomously and collaboratively.
High proficiency in Google Suite applications.
Strong interpersonal skills, including negotiation, diplomacy, assertiveness, and empathy, with a high degree of emotional and social intelligence.
Experience or interest in marketing, relationship management, or business development is highly desirable.
