Administration Assistant (Job Share) – Psychology Clinic
We are a busy Psychology Clinic based in the inner South Eastern Suburbs of Melbourne looking for an Administration Assistant to join our team. We are after a mature, responsible individual with great communication and customer service skills, who can work well under pressure. This is a part-time job share position over two days (flexible).
Some tasks and responsibilities may include:
- Maintaining calendar, scheduling meetings, and booking appointments.
- Replying to Bookkeepers, managing expenses, and bill-paying.
- Helping to keep schedules and routines on track.
- Sorting documents and materials into our online folder structure.
- Answering telephone calls and taking detailed messages as required.
- Proactively chasing up the required documentation and information as needed.
- Liaising with third-party referrers (e.g., GPs, allied health providers, and agencies), nurturing ongoing relationships, and assisting with referrer communications and marketing initiatives.
- Supporting the Clinic's marketing efforts through email updates, referral tracking, and assisting with the preparation and distribution of marketing materials.
You will need to have:
- Ability to take initiative with little supervision, working both autonomously and collaboratively.
- An uncompromising attitude towards discretion and confidentiality.
- A keen eye for detail and accuracy with strong proofreading skills.
- Sound organizational and time management skills with the ability to prioritize and reprioritize at short notice.
- High-level problem solving, research/investigation, and analytical skills.
Desired Traits:
- Previous experience in a similar role.
- Ability to take initiative with little supervision working both autonomously and collaboratively.
- High proficiency in Google Suite applications.
- Strong interpersonal skills, including negotiation, diplomacy, assertiveness, and empathy, with a high degree of emotional and social intelligence.
- Experience or interest in marketing, relationship management, or business development is highly desirable.
