The Executive Assistant to the Principal provides high-level executive, administrative, governance and coordination support to the principal.
The role is responsible for coordinating complex executive workflows, managing confidential and sensitive information, supporting school governance processes and ensuring the principal¿s priorities, commitments and required actions are effectively organised and followed through.
Operating under broad direction, the Executive Assistant exercises a high level of initiative, professional judgement and discretion. The role requires the ability to anticipate priorities, manage competing demands and provide informed administrative advice within established Department and school policies, procedures and guidelines.
Executive Support
- Provide high-level executive and administrative support to the Principal.
- Manage the Principal¿s calendar, appointments, meetings, commitments and competing priorities.
- Monitor and coordinate the Principal¿s correspondence, emails, requests and required follow-up actions.
- Prepare briefing notes, meeting papers, reports, presentations, correspondence and other executive documentation.
- Draft, review and coordinate high-level communications for staff, families, School Council members, community representatives and external stakeholders.
- Manage confidential, sensitive and complex information with a high level of discretion.
- Liaise professionally with staff, families, Department representatives and external stakeholders on behalf of the Principal.
- Support the planning and coordination of leadership planning days, professional learning activities and other executive events.
- Anticipate upcoming deadlines, commitments and information required by the Principal.
- Maintain systems for tracking correspondence, decisions, deadlines and outstanding actions.
- Coordinate appointments and visits involving Department representatives, external agencies, community members and other stakeholders.
- Undertake research and gather information to support briefings, reports, presentations and decision-making.
- Maintain confidential executive records in accordance with Department and College record-keeping requirements.
School Council and Governance Support
- Provide high-level administrative support to the School Council and its subcommittees.
- Coordinate meeting schedules, agendas, papers, minutes, correspondence and follow-up actions.
- Liaise with the School Council President, Principal and relevant staff to prepare and distribute meeting documentation.
- Maintain accurate governance records and ensure documentation is securely stored and readily accessible.
- Monitor actions arising from School Council and leadership meetings.
- Support governance processes in accordance with Department requirements and established College procedures.
- Coordinate School Council elections, member induction and associated administrative requirements.
