Full Job Description

The Garvan Research Foundation was founded in 1981 and is the fundraising and marketing arm of the Institute, raising awareness and vital funds from individuals, trusts and foundations and corporate and community groups.

The Foundation’s income has grown from a fundraising base of $110,000 in its first year to more than $57 million in 2024– approximately half of the Institute’s total income. The remarkable success of the Foundation’s activities is having a catalytic impact on our researchers’ ability to make scientific contributions that will ultimately lead to earlier diagnosis, better treatments and prevention or cure of a range of diseases.

The Garvan Institute of Medical Research brings together world leading researchers and clinicians, collaborating locally and globally, to improve human health. Our mission is to harness all the information encoded in our genome to better diagnose, treat, predict and prevent disease. From the individual patient with rare disease, to the many thousands affected by complex, widespread illness, we are pioneering discoveries across diseases that have the deepest impact on our community.

THE OPPORTUNITY

Garvan manages a diverse portfolio of supporters, including major donors and corporate partners. Reporting to the Corporate and Community Partnerships Manager, and supporting the Philanthropy team, the Philanthropy and Partnerships Coordinator, is responsible for nurturing existing relationships and actively supporting acquisition activities to inspire major and transformational gifts aligning with strategic goals to support research.

WHAT YOU WILL DO

The key responsibilities include:

Relationship Management

Proactively engage and nurture relationships with current and prospective philanthropic and corporate partners to inspire major and transformational gifts.

Deliver meaningful partner and donor stewardship through personalised communications, and acknowledgement and recognition activities to strengthen relationships.

Coordinate partner and donor engagement activities, including events, tours, and internal and external meetings with researchers on areas of interest.

Proactively identify, propose and execute new engagement opportunities.

Partnership program

Proactively manage agreement renewals and track all milestones within partner engagement plans, ensuring all activities are met on time and to a high standard.

Coordinate the development of partnership-related content across digital platforms (website, intranet, e-newsletters) and print channels (annual reports, print newsletters, event collateral).

Support the creation of high-quality grant applications, partnership agreements, contracts, pitch presentations and tailored proposals.

Regularly review and update partner information on the Garvan website to ensure absolute accuracy, brand alignment and partner recognition.

Ensure that best practice donor journeys are executed for corporate partners and workplace giving organisations.

Support strategies to grow in-kind support and pro-bono services from corporate supporters.

Proactively promote workplace giving and community fundraising initiatives to existing partners to deepen staff engagement.

Monitor, analyse and regularly prepare budget reports.

Events and Tours

Plan and deliver high-end, tailored corporate partner events. Coordinate logistics and stakeholder involvement to create high-impact engagement opportunities.

Represent Garvan at partner and donor meetings and events as required.

Arrange research tours and proactively lead engagement activities to connect donors with Garvan’s research. Contribute to the development and delivery of a range of philanthropy events, including but not limited to:

preparation of guestlists and management of event RSVPs

facilitation of guest research prior to the event;

provide day-of event support to the Events Officer;

document and evaluate event outcomes and expenditure.

Provide high-level support to the broader Philanthropy and Executive leadership teams for VIP tours and major donor visits, including but not limited to:

Booking meeting rooms and coordinating calendar appointments

Providing meeting and tour support, including facilitating tea and coffee orders

Other responsibilities

Maintain up-to-date records in Raiser’s Edge including communications, actions, attachments, supporter information to ensure data accuracy and efficiency, both for the relationships you manage and to support the Corporate and Partnerships Manager.

Assist with extracting donor data for communications, events, data analysis and KPI tracking.

Coordinate with other teams, as required, to ensure an effective and efficient approach to philanthropy and partnerships processes across the organisation.

Collaborate with the Supporter Services Team to ensure optimal supporter care and that funding is accurately allocated where requested.

Utilise best practice AI tools to streamline workflows, automate routine administrative tasks and increase overall team efficiency.

Commitment to continuous improvement of processes and maintaining up-to-date records of processes and procedures.

Advocate the impact of philanthropy and partnerships within Garvan Research Foundation by communicating stories, successes and experiences in team meetings and on internal social channels.

Support other teams during busy periods (e.g. EOFY, volunteering at events).

Collaborate with the Finance team to complete financial administrative tasks.

Other duties as required to support the wider Philanthropy Team.

Comply with Garvan’s workplace policies (as amended from time to time) and especially Garvan’s Work Health & Safety (WHS) Policy, including working in accordance with the WHS management system at all times, as safety is Garvan’s number one priority.

ABOUT YOU

The key skills and experience include:

Tertiary qualifications in fundraising, business, marketing, communications or science and/or 2–5 years of proven experience in a related role.

A proven self-starter who takes ownership of responsibilities, proactively identifies areas for improvement and drives solutions.

Proven experience building, nurturing and managing relationships with diverse internal and external stakeholders.

Strong organisational skills with a demonstrated ability to lead projects, manage competing priorities, and meet tight deadlines.

Exceptional written and verbal communication skills.

Self-motivated, proactive attitude with creative problem-solving skills, and the ability to anticipate team and partner needs.

Practical experience in planning, coordinating and executing high-level events.

Excellent attention to detail across data management, financial reporting and written communications.

Ability to work highly independently with minimal supervision, while collaborating effectively with a cross-functional team.

Proficient in the use of AI tools, Microsoft Office Suite and donor CRM platforms (e.g., Raiser’s Edge).

A deep understanding of, and genuine commitment to, the values and mission of the not-for-profit and medical research sectors.
