About Ballastone Capital

Ballastone Capital is a growing private capital and property finance business focused on funding Australian property development projects.

We work with wholesale investors, developers, brokers, and professional advisers to deliver flexible funding solutions across residential and commercial real estate opportunities.

As we expand our lending and investment platform, we are seeking an experienced Operations Manager to oversee fund operations, investor onboarding, lending administration, and operational compliance.

The Role

This is a key position within the business, working directly with the directors to build and manage the operational infrastructure of a growing private credit platform.

The successful candidate will be involved in both investment fund operations and property lending operations.

Key ResponsibilitiesFund & Investor Operations

Manage investor onboarding, AML/KYC and account opening processes
Coordinate investor subscriptions, redemptions and distributions
Maintain investor registers and records
Prepare investor reports and operational updates
Liaise with trustees, custodians, fund administrators and external service providers
Support the ongoing operation of managed investment structures and investment vehicles

Lending Operations

Coordinate loan applications, due diligence and settlements
Liaise with borrowers, brokers, solicitors, valuers and quantity surveyors
Manage loan documentation and settlement processes
Monitor loan portfolios, repayments and covenant compliance
Coordinate construction drawdowns and progress payments
Maintain loan records and reporting systems

Operations & Compliance

Assist with operational policies and procedures
Support AML/CTF and compliance requirements
Improve internal systems, workflows and controls
Assist directors with new product launches and business growth initiatives

About You

You may come from a background in:

Private Credit
Mortgage Funds
Managed Investment Schemes (MIS)
Property Development Finance
Commercial Lending
Fund Administration
Non-Bank Lending

Essential

1+ years experience in operations, fund administration, lending operations or investment operations
Strong organisational and stakeholder management skills
High attention to detail
Ability to manage multiple transactions simultaneously
Strong written and verbal communication skills

Highly Regarded

Experience with Managed Investment Schemes (MIS)
Experience with wholesale investor funds
Experience with property development lending
Knowledge of AML/CTF obligations
Experience working with trustees, custodians or fund administrators
Understanding of unit trusts, private credit funds and mortgage funds
