Are you highly organised, efficient, confident on the phone and naturally good at building relationships with people?

We are a growing doctor-led hair restoration clinic looking for an exceptional Patient Consultant & Administration Coordinator to join our team.

We are looking for someone who can combine excellent organisation and administration with strong communication, customer service and sales ability.

You will be one of the first people our prospective patients speak with and will play an important role in their journey from enquiry to consultation and ultimately treatment.

The Role

You will manage a combination of patient enquiries, consultation bookings, sales follow-up and day-to-day clinic administration.

Your responsibilities will include:

Patient Enquiries, Sales & Follow-Up

Responding promptly to new patient enquiries via phone, email and social media
Calling and qualifying new leads
Building rapport & understanding each patient's needs, concerns & motivations
Following up patients after their consultation
Discussing treatment costs, finance options, surgery availability and next steps
Helping patients progress from consultation through to surgery booking
Following up previous enquiries and maintaining an organised sales pipeline

Patient Coordination & Administration

Booking and coordinating consultations
Managing calendars, appointments and consultation schedules
Confirming appointments and reducing missed consultations
Sending patient information, documents and appointment reminders
Maintaining accurate patient records and CRM data

Systems & Continuous Improvement

Identifying opportunities to improve systems, patient experience & internal processes

Who We're Looking For

You are organised, reliable and efficient. You communicate well, learn quickly and don't need to be constantly reminded what needs to happen next. You're comfortable working with people.

Experience

Experience in medical administration, cosmetic medicine, dental, allied health, healthcare, customer service or consultative sales would be highly regarded.

Experience with CRM systems such as HubSpot is advantageous but not essential.

We are a premium Australian hair restoration clinic providing doctor-led hair transplant procedures and non-surgical hair restoration treatments.

We pride ourselves on personalised care, high clinical standards and providing patients with ongoing support throughout their hair restoration journey.

You will work closely with the clinic owners and have the opportunity to become an important part of a growing medical practice.

Pay: $60,000.00 – $80,000.00 per year
