Office Administrator

Nambour, Sunshine Coast | Full-Time

We are a growing building company based in Nambour, specialising in insurance repair works, body corporate maintenance, and aged care projects. We have built our reputation on quality workmanship, reliable service, and strong relationships with clients, insurers, contractors, and industry partners.

As our business continues to grow, we are looking for a motivated and organised Office Administrator to join our team. This is more than just an administration role—it is a stepping-stone opportunity for someone who wants to develop their skills, take on greater responsibility, and grow with the business.

About the Role

This is a varied and fast-paced position where no two days are the same. As the Office Administrator, you will be at the heart of our business, playing a central role in keeping operations running smoothly and ensuring projects progress efficiently from start to finish.

This is not a role for someone who simply wants to follow a process. We are looking for someone who wants to be part of building the business, contribute ideas, take ownership, and help shape how we operate. Key Responsibilities

Manage incoming calls, emails, and general enquiries
Schedule jobs, trades, and appointments
Liaise with clients, insurers, body corporates, contractors, and suppliers
Maintain and update job management systems
Prepare job documentation, reports, quotes, and correspondence
Assist with invoicing, purchase orders, and general administration
Monitor job progress and assist with workflow coordination
Review and improve office systems, workflows, and procedures
Develop and document processes to improve efficiency, consistency, and accountability
Identify opportunities for operational improvements and assist with implementing solutions
Maintain accurate administrative and operational records
Provide administrative support to the management team as required

About You

To be successful in this role, you will be:

Highly organised with strong attention to detail
A confident communicator with excellent customer service skills
Able to manage multiple tasks and competing priorities in a busy environment
Proactive, self-motivated, and willing to take initiative
Reliable, professional, and team-oriented
Comfortable using technology and learning new systems
Skilled at creating, documenting, and improving processes and procedures
Someone who enjoys solving problems and finding better ways of working

Skills & Experience

Previous experience in an administration, office support, or coordination role
Strong Microsoft Office skills, particularly Outlook, Word, and Excel
Experience with Prime Ecosystem or similar job management software (preferred but not essential)
Experience within construction, insurance, maintenance, property services, or a related industry will be highly regarded
Experience developing and implementing office processes or systems will be highly regarded
