The Watch Dealers is Queensland’s premier luxury watch dealer, specialising in pre-owned and new timepieces from the world’s most renowned brands.

With a boutique retail store and strong online presence, we pride ourselves on authenticity, quality and exceptional customer service.

About the Role

We are seeking an experienced Office Manager to organise and oversee the administrative functions and office operations of our growing business.

The successful candidate will manage office systems, consignment and sales documentation, transaction records, administrative workflows and relationships with external professional service providers.

Key Responsibilities

· Organise and oversee the day-to-day administrative functions of the office.

· Develop, implement and review office procedures, administrative systems and service standards.

· Coordinate the administration and maintenance of consignment agreements, sales contracts and related documentation.

· Manage records relating to consigned inventory, purchases, sales, invoices, settlements and client accounts.

· Ensure ownership, provenance, authenticity, valuation and client records are accurately maintained.

· Oversee invoicing, consignor payments and transaction documentation.

· Allocate administrative tasks and monitor the completion and standard of work performed by staff.

· Coordinate staff onboarding, training, payroll information, schedules and personnel records.

· Liaise with accountants, insurers, valuers, watchmakers, repairers, couriers and other professional service providers.

· Coordinate office equipment, systems, resources and supplies.

· Maintain procedures relating to record keeping, privacy, security, workplace safety and the handling of high-value goods.

· Prepare administrative and operational reports for management review.

Skills and Qualifications

· AQF Diploma or higher qualification in Business Administration, Management, Financial Services or a related field, or equivalent relevant experience.

· Minimum two years of relevant experience in office administration, financial services administration, business operations or a similar environment.

· Experience managing contracts, records, accounts and transaction documentation.

· Experience supervising staff, allocating work or coordinating team activities.

· Strong organisational skills and the ability to manage multiple administrative workflows.

· Strong attention to detail, particularly when handling confidential information and high-value transactions.

· Excellent written and verbal communication skills.

· Proficiency in Microsoft Office, customer relationship management systems and relevant business software.

· Ability to work independently while collaborating effectively with management and the broader team.

Pay: $79,500.00 – $85,000.00 per year
