Full Job Description

Job Title: Medical Receptionist / Senior Administration Assistant
Location: Camberwell, VIC (Admin Hub – No Patient Contact)
Work Type: Part-Time (4-5 days per week)
Salary/Rate: $30 - $38 p/hr + Super (Dependent on experience)

About the Role

We are seeking a professional, highly organised and proactive Medical Receptionist/Senior Administration Assistant to join our dedicated administrative hub in Camberwell. This is a part-time position working 4-5 days per week (30-37.5), supporting a busy Interventional Cardiologist.

Please note: This role is based entirely within our private admin hub. The office consists of 3 staff members, the Practice Manager, Receptionist/Admin Assistant and Practice Nurse. We do not see patients at this office. Instead, you will help manage the operations, bookings, and billing for the Cardiologist across 4 different off-site consulting clinics. We are looking for someone who wants long term employment with security. This position is not suited to someone who is studying.

Although this is initially a receptionist/admin role with a lot of variety, you will be expected to manage all aspects of the office in the absence of the Practice Manager. This will allow for the efficient running and management of the office during sick leave and annual leave periods.

Key Responsibilities

Manage patient bookings, inquiries, and triage via phone and email.
Scheduling and coordinating appointments, diary management for 4 off-site consulting clinics. Reminder calls for referrals and sending SMS’s for appointments.
Handle consult billing and Medicare/DVA processing.
Maintain accurate electronic medical records including uploading and updating referrals accurately from incoming emails and faxes & making sure they are in patient files for their upcoming appointment or the patient is bringing on the day.
Liaise with other clinics and pathology labs to obtain patient correspondence and ensure all results are in the patients’ files for their follow up appointments.
Excellent time management is a must and an ability to prioritise workload.
When all paperwork and billing comes back to the office each week, it has to be scanned in to the patient files and billing invoiced and sent to Medicare online.

Skills & Experience Required

Previous experience as a medical receptionist or secretary preferred (specialist or cardiology experience is highly regarded).
Proficiency in medical software using Zedmed (highly regarded) or other medical software. Confident with using Microsoft Word, Excel & Outlook/Explorer.
Exceptional communication, written and verbal skills and a professional phone manner. Understanding patient confidentiality and privacy.
High attention to detail, accuracy and strong multi-tasking abilities.
Quick learner and the ability to work independently or within a team.
