Part-Time Executive Assistant / Marketing Assistant / Project Coordinator to the CEO

Location: Remote (Work from Home) – Applicants must be based in Australia

Hours: Part-time Consultancy

Tuesday: 2:00 pm – 5:00 pm
Thursday: 2:00 pm – 5:00 pm
Friday: 2:00 pm – 5:00 pm
(Approximately 9 hours per week)

We are seeking a highly organised, proactive and detail-oriented professional to support our CEO across executive administration, marketing and project coordination. This is an ideal opportunity for someone who enjoys working in a fast-paced environment, can juggle multiple priorities and takes pride in producing high-quality work.

About the Role

This diverse role combines Executive Assistant responsibilities with marketing support and project management. You will work closely with the CEO to ensure projects stay on track, meetings are well managed, communications are professional, and marketing activities are delivered to a high standard.

Key Responsibilities

Provide executive support to the CEO, including diary management and meeting coordination.
Prepare board agendas, board papers and board minutes.
Provide secretariat support for board and committee meetings (preferred experience).
Coordinate projects, monitor timelines, follow up action items and keep stakeholders informed.
Assist with presentations, reports and proposals.
Support marketing activities, including content creation and presentation design.
Maintain organised records, documentation and project files.
Liaise confidently with senior stakeholders and external partners.
Ensure all work is accurate, polished and delivered on time.

About You

You are an exceptional organiser with outstanding communication skills and a passion for quality. You enjoy working independently, are comfortable with technology and can anticipate what needs to be done before being asked.

Essential Requirements

Excellent written and verbal communication skills.
Previous Executive Assistant experience supporting a senior executive or CEO.
Strong project management and coordination experience.
Exceptional organisational and time management skills.
Very fast and accurate typing skills.
Outstanding attention to detail and commitment to producing high-quality work.
Advanced Microsoft Office skills, particularly Excel and PowerPoint.
Experience using Canva to create professional documents and presentations.
Comfortable using AI tools (such as ChatGPT, Microsoft Copilot or similar) to improve productivity and content development.
Ability to manage multiple priorities and work autonomously in a remote environment.

Highly Desirable

Experience preparing board agendas, board papers and board minutes.
Previous board secretariat or governance support experience.
Experience in communications, marketing or stakeholder engagement.
Experience supporting multiple projects simultaneously.
