About the Role
Ace Community Care Services is seeking an organised, reliable and detail-focused NDIS Compliance Administrator to join our office team in Blacktown.
This is an important administrative and compliance role responsible for helping ensure our organisation, staff records and service documentation remain compliant with NDIS requirements and internal policies and procedures.
You will work closely with management, support workers, participants, families and nominees while overseeing staff compliance documentation, timesheets, emails, telephone enquiries and general NDIS administration.
We are looking for someone who is confident following up documentation, highly organised and able to identify compliance issues before they become problems.
Key Responsibilities
Your responsibilities will include:
- Monitoring and supporting organisational compliance with NDIS requirements, policies and procedures.
- Maintaining accurate and audit-ready compliance records.
- Checking staff probity and compliance documentation.
- Monitoring NDIS Worker Screening Checks, Working With Children Checks where applicable, police checks, First Aid/CPR certificates, driver's licences, qualifications and other required documents.
- Maintaining compliance registers and monitoring document expiry dates.
- Following up staff regarding missing, incomplete or expiring documentation.
- Assisting with staff onboarding and compliance checks.
- Reviewing staff timesheets for accuracy and completeness.
- Following up timesheet discrepancies or missing information.
- Responding professionally to emails and incoming telephone calls.
- Liaising with NDIS participants, clients, nominees, family members and other authorised representatives.
- Communicating with support workers regarding administrative and compliance requirements.
- Maintaining participant and staff files and ensuring records are appropriately stored.
- Assisting with service agreements and participant documentation.
- Supporting management with internal compliance reviews and NDIS audit preparation.
- Assisting with incident, complaint and other compliance documentation where required.
- Identifying and escalating compliance concerns or documentation gaps to management.
- Supporting continuous improvement activities across the organisation.
- Providing general administrative support within the Blacktown office.
About You
To succeed in this position, you will need to be:

- Comfortable communicating with staff, participants, families and nominees.
- Able to manage multiple priorities and deadlines.
- Confident communicating by telephone and email.
- Able to maintain confidentiality when handling sensitive participant and employee information.
- Capable of working independently while knowing when matters need to be escalated to management.
- Proficient with Microsoft Office, email and electronic record-management systems.
Experience & Qualifications
Previous experience working within an NDIS provider, disability services organisation or compliance/administration role is highly desirable.
Candidates with experience in any of the following will be highly regarded:
- NDIS administration or compliance
- NDIS Practice Standards and provider requirements
- Staff compliance and probity documentation
- NDIS Worker Screening and employee compliance records
- Timesheet checking and administration
- Participant documentation and service agreements
- NDIS audit preparation
- Incident and complaint documentation
- Disability or community services administration
- Quality and compliance systems
A qualification in Business Administration, Community Services, Disability, Quality/Compliance or a related fieldwould be advantageous but is not essential for candidates with suitable experience.
