About the Role
We are seeking a motivated and organised Project/Workshop Administrator to join our growing team. In this role, you will play a key part in supporting the efficient operation of both workshop and project activities. You will be responsible for coordinating administrative processes, maintaining accurate records, assisting with equipment and project scheduling, supporting inventory management, and ensuring effective communication between workshop personnel, project teams, suppliers, and customers. Your contribution will be essential in helping projects and workshop operations run smoothly, maintaining accurate documentation, and ensuring equipment and resources are available to meet operational and customer requirements.
Key Responsibilities
Project Administration
- Coordinate project administration activities, including project documentation, schedules, resource tracking, and mobilisation requirements.
- Assist with project planning, reporting, and progress tracking to support successful project delivery.
- Maintain accurate project records, correspondence, and documentation in company systems.
- Prepare project-related reports, status updates, and operational documentation as required.
Workshop Administration
- Coordinate workshop administration activities, including maintenance schedules, job tracking, and equipment allocation.
- Maintain accurate records of servicing, inspections, repairs, and equipment maintenance history.
- Support workshop operations by coordinating documentation and ensuring equipment readiness for deployment.
- Assist workshop personnel with administrative requirements to ensure efficient day-to-day operations.
Inventory, Procurement & Asset Management
- Monitor inventory levels and maintain accurate records of equipment, tools, consumables, and spare parts.
- Coordinate purchasing activities, purchase orders, and supplier communications to support operational requirements.
- Track company assets and equipment utilisation, ensuring records remain current and accurate.
- Assist with stock control processes and inventory audits to maintain operational efficiency.
Stakeholder Support, Compliance & Reporting
- Liaise with customers, suppliers, project teams, and internal stakeholders to support operational and project activities.
- Respond to enquiries and coordinate logistics, equipment movements, and administrative requests in a professional manner.
- Ensure company documentation, records, and processes comply with internal policies and regulatory requirements.
- Prepare and maintain operational reports, KPI data, compliance records, and other business reporting requirements.
Required Skills Qualifications & Experience
Education/Certificates
- Current Driver's Licence preferred.
- WHS or First Aid certification is advantageous.
Experience & Knowledge
- Experience in administration, project coordination, or workshop support roles.
- Strong organisational and time management skills with the ability to manage competing priorities.
- High attention to detail and accuracy in record-keeping, reporting, and documentation.
- Strong verbal and written communication skills with the ability to engage with various stakeholders.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to work independently and collaboratively within a team environment.
