The Department of Justice and Community Safety (Youth Justice) is responsible for the statutory supervision of young people in the criminal justice system in Victoria focussing on prevention, diversion, and early intervention as the most effective and fiscally responsible ways of reducing youth crime. Youth justice custodial centres accommodate young people aged 12-18 years who have been remanded or sentenced by the Criminal Division of the Children's Court, and some 18-21 year olds sentenced by Adult Courts to a youth justice custodial centre.
Youth Justice Custodial Services aim to engage young people in change by addressing their offending behaviour and equipping them with the skills required for positive community participation, within a safe and secure environment.
The opportunity
- Ongoing, full-time position based at the Malmsbury Youth Justice Precinct but working flexibly across other Youth Justice Custodial Precincts (Parkville & Cherry Creek), where needed to respond to operational requirements.
- VPS3 role: $81,496 - $98,955 per year plus super.
- Effectively manage office processes and oversee records management, financial information, fleet management, asset management, organising travel and accommodation, on-boarding/off-boarding of staff members and ministerial correspondence.
- Coordinate and oversee day-to-day office administration services in accordance with departmental financial management guidelines, including accounts payable tasks such as purchasing, invoice processing and supplier engagement, financial reconciliation and purchasing card reconciliations.
- Supervise Return to Work staff, temporary staff, and YES trainees, supporting their development and ensuring optimal contribution to operational outcomes.
- Assist with procurement processes and contract management, including preparing documentation and administering contracts as required.
- Maintain the Malmsbury Youth Justice Precinct asset register and the DJCS Device Management System.
- Assist with day-to-day operation of other administration services including management of young people's valuables, earnings, and phone system, the maintenance of banking and cash management records, distribution of mail, and onboarding of YJ staff and contractors.
- Identify improvements and contribute to the development of new systems and processes in collaboration with the relevant subject matter experts across the department, to identify the most appropriate solutions.
- Provide support for meetings and conferences including coordinating papers, organising venues, catering, agendas and making travel and accommodation arrangements.
- Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
To be successful in this role, you will have:
- Knowledge of Victorian governmental operating practices, processes and information systems is desirable.
- Knowledge and skills in invoice processing and accounts payable is highly desirable.
- Experience with contract management and accounts payable systems such as Zycus and Oracle is desirable.
- A current driver's licence is required due to the need to work across different locations.
A current employee Working with Children Check (WWCC) card is required and will need to be provided prior to commencement of employment by the applicant. Currency will need to be maintained by the employee for the period of employment.
