As our business continues to grow, we're hiring for an organised, proactive and detail-oriented Bid Coordinator to support our Business Development team by managing tender submissions, coordinating client opportunities and ensuring our sales pipeline runs efficiently.

The Opportunity
Reporting to the Business Development Manager, you'll be responsible for coordinating tenders and RFQs, maintaining our CRM, supporting client engagement activities and ensuring opportunities progress efficiently through the sales pipeline.
Working closely with our Business Development, Planning and Operations teams, you'll help deliver high-quality submissions while ensuring our internal processes remain organised and efficient.
No two days are the same, making this an ideal role for someone who enjoys variety, problem-solving and taking ownership of their work.
Key Responsibilities
You'll be responsible for:
- Coordinate and prepare Requests for Quotations (RFQs), tenders and business submissions.
- Monitoring tender portals, business development inboxes and client enquiries.
- Managing tender documentation and maintaining accurate document control.
- Liaising with Planning and Operations to gather pricing and resource information.
- Maintaining CRM data and tracking opportunities through the sales pipeline.
- Following up submitted quotations and recording outcomes.
- Supporting sales meetings, preparing reports and meeting minutes.
- Coordinating new client account setup and internal handovers.
- Supporting the Business Development Manager with day-to-day sales activities.
- Contribute to the continuous improvement of business development systems and processes.
About You
To be successful in this role you'll ideally have:
- Australian Citizenship or Australian Permanent Resident essential (We are not providing sponsorship for this position).
- Previous experience in business development coordination, Tender Administration or Bid Coordination.
- Experience using CRM systems and Microsoft Office suite.
- The ability to manage multiple deadlines and competing priorities.
- Exceptional attention to detail and document management skills.
- A proactive approach with the ability to work autonomously.
- A continuous improvement mindset with a willingness to learn.
- Strong administration and organisational skills.
- Comfortable working 5 days in-office per week from our Rydalmere office.
Desirable (but not essential):
- Experience within the Traffic Management, Civil Construction, Infrastructure or Engineering industries.
