Position Title: Contract Administrator/Coordinator
Employment Type: Full-time, Permanent
Hours of Work: 38 hours per week
Salary Range: AUD $76,000 – $96,000 per annum plus superannuation
LBGardens PTY LTD is seeking a motivated and organised Contract Administrator/Coordinator to support the ongoing administration, coordination, and operational requirements of the business. This full-time position plays an essential role in ensuring smooth day-to-day business operations, effective coordination of subcontractors and suppliers, and administration of client contracts and business documentation across landscaping and gardening projects.
The successful candidate will be responsible for, but not limited to, the following duties:
- Supporting the Company Director in the day-to-day administration and coordination of business operations
- Coordinating contracts, service agreements, and documentation with clients, subcontractors, suppliers, and external stakeholders
- Preparing, interpreting, maintaining, reviewing, and administering contracts and service agreements, including coordinating and negotiating contract variations on behalf of the organisation to ensure operational and project requirements are met
- Liaising with subcontractors, suppliers, tax agents, landlords, insurers, and service providers to ensure business operations run efficiently
- Preparing, reviewing, and distributing customer documentation including quotations, terms and conditions, service agreements, and project-related correspondence
- Assisting with onboarding and offboarding processes for staff and subcontractors, including maintaining associated documentation
- Coordinating work schedules, teams, and operational activities to support project delivery and business requirements
- Maintaining financial and administrative records and assisting with business reporting requirements
- Developing, implementing, and maintaining internal operational procedures and customer service policies
- Managing business insurances, supplier relationships, and administrative compliance requirements
- Monitoring administrative processes and identifying opportunities to improve operational efficiency and workflow management
- Providing general administrative and contract coordination support to ensure the effective delivery of business services
- Ensuring smooth day-to-day operational workflows through effective communication and coordination across internal teams and external stakeholders
Selection Criteria and Requirements:
- Diploma qualification or higher in Business, Management, or a related field
- At least one year of full-time work experience in a similar role or closely related position
- Strong organisational and time management skills with the ability to coordinate multiple tasks simultaneously
- Excellent written and verbal communication skills
- Ability to liaise effectively with clients, subcontractors, suppliers, and internal stakeholders
- Proficiency in administrative systems, documentation management, and general office software
- Ability to work independently and manage competing priorities within a fast-paced environment
