We are seeking an organised, customer-focused Reception / Administrator to step into a dynamic office all-rounder role. Spanning front-of-house hospitality, sales support, and pre-construction administration, this role is perfect for someone who loves variety, thrives on creating wonderful first impressions, and keeps operational details running like clockwork!

What You'll Be Doing

Reception & First Impressions: Serve as the warm face and voice of our business - greeting all customers and visitors professionally, managing incoming phone inquiries, and ensuring a welcoming office environment.
Council & Pre-Construction Liaison: Deal directly with council permits, external providers, and building surveyors to progress approvals efficiently and keep projects moving to deadline.
Construction & Contract Admin: Establish and maintain job folders and assist with contract administration and estimating paperwork.
Data Management & Accuracy: Enter lead and client information into our systems with a high degree of attention to detail.
General Office Support: Maintain office supplies, handle daily mail, and assist with basic invoicing in Xero to ensure smooth daily operations.

What You'll Bring

True All-Rounder: Comfort with wearing multiple hats throughout the day, balancing customer interactions with detailed administrative and compliance tasks.
Exceptional People Skills: A warm, professional manner with a natural ability to connect with clients, council officers, building surveyors, and team members alike.
Strong Computer & Digital Literacy: High proficiency in standard office software (experience with Xero is a bonus!) and a quick capability to learn customised management platforms.
High Attention to Detail & Initiative: A keen eye for accuracy, the ability to meet deadlines under pressure, and a proactive approach to keeping tasks moving forward.
Location & Mobility: Living in or near Bairnsdale (or surrounding East Gippsland communities), holding a current Australian Driver’s Licence, and having access to a reliable vehicle.
