We are seeking an experienced, self-motivated and reliable Regional Administration Manager to support the overall efficiency of the Southern NSW/ACT region.
Reporting to the Senior Regional Administrator - NSW/ACT and the Chief Administrative Officer; you’ll be responsible for providing efficient and high-quality administration support to staff, clients and service providers.
Our Canberra Laboratory in Fyshwick is the preferred location for this role; however, we welcome applications from all areas. For the right candidate, we can offer flexibility for the role to be based in either Canberra, Marulan, or Albion Park.
Administrative tasks include but is not limited to:
- Employee timesheets and rostering, including monitoring invoicing forecasting;
- Assurance of payroll compliance processes, including gaining a thorough understanding of the EBA (Enterprise Bargaining Agreement);
- Accounts Payable support including compliance to ASL (Approved Supplier List) and DOA (Delegation of Authority);
- Accounts Receivable Support including assisting with invoicing queries and requirements;
- Site mobilisation including management of client/project portals, site inductions and required licenses;
- Organisation of regional location events and functions, including external client/marketing functions and internal team functions such as monthly activities and events as per schedule;
- Assisting to proactive maintenance to ensure up to date employee records, including qualifications and training;
- Assistance with management of staff movements within the region such as new employees, terminations, secondments, transfer, ensuring costs are being captured in correct cost centres;
- Collating and completing pre-qualification and tender documents;
- Organising and managing fleet maintenance activities, such as arranging vehicle services, registrations, GPS vehicle tracking etc;
- Ensuring contract compliance by completing and submitting contracts for review via the DRER process;
- Facilitating local inductions;
- Nominated Mental Health and Return to Work Coordinator;
- Management of Radiation within region including Developing and maintain a current working knowledge of radiation developments, legislation, and practice for the relevant state / territory within the region; and
- Update the national nuclear density gauge register to maintain an accurate inventory and track nuclear density gauge movements.
About you
To be successful in this role you’ll need to have;
- Senior administration experience within a medium to large stakeholder base;
- Exposure to timesheet entry/rostering;
- Exposure to GeoTester or alternate LIMS system;
- Experience as a Return-to-Work Coordinator (desirable);
- Mental Health Representative (desirable);
- Strong attention to detail and excellent verbal and written communication skills;
- Initiative and problem-solving skills with the ability to work autonomously with little direction/supervision;
- Sound Microsoft Office skills (particularly Excel and Word) and the ability to pick up new systems easily; and
- Great time management skills to manage competing priorities and to meet critical deadlines.
Relevant experience in an administration role would be advantageous.
