Executive Assistant

Permanent Part Time

0.8 FTE

Health and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2025-2027

Classification: HS3

Dependent on experience

We are seeking a highly organised and proactive Executive Assistant to provide confidential administrative and operational support to our Executive Team. This role is ideal for a professional who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can effectively manage competing priorities.

Key Responsibilities

Provide high-level administrative support to the Chief Executive Officer and Executive Team.
Manage calendars, appointments, meetings, and travel arrangements.
Prepare correspondence, reports, presentations, and meeting agendas.
Coordinate and minute meetings, ensuring action items are followed up.
Manage confidential information with discretion and professionalism.
Liaise with internal and external stakeholders on behalf of executives.
Assist with project coordination and special initiatives.
Maintain accurate records, filing systems, and office documentation.

About You

To be successful in this role, you will have:

Excellent organisational and time-management skills.
Strong written and verbal communication abilities.
High proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
The ability to work independently and manage multiple priorities.
Strong attention to detail and problem-solving capabilities.
Professionalism, discretion, and a customer-focused approach.
