Where you'll be working:
John Hunter Hospital ICU is in the largest tertiary referral and trauma hospital in regional New South Wales and serves the Hunter, Mid North Coast, New England, and northern NSW regions. It is widely recognised as the only Level 1 major trauma centre outside metropolitan Sydney, handling some of the state’s most complex emergency and critical care presentations.
The broader John Hunter Hospital precinct is also a major teaching and research hospital affiliated with the University of Newcastle and the Hunter Medical Research Institute. It supports advanced specialties including ICU, surgery, maternity, oncology, cardiothoracic medicine, and paediatrics.
The hospital is currently undergoing a major $835 million redevelopment through the John Hunter Health and Innovation Precinct project. The expansion includes:
- A brand-new emergency department
- 22 operating theatres
- Expanded ICU capacity
- Rooftop helipad
- Additional parking and improved patient access
- New acute services building designed for future patient demand exceeding 95,000 ED presentations annually
About the role:
John Hunter Hospital is seeking a highly organised and customer-focused Ward Clerk to provide administrative support within the Intensive Care Unit (ICU). This role is integral to the smooth operation of the unit, acting as a key point of contact for patients, families, visitors, and multidisciplinary team members while ensuring efficient administrative processes that support the delivery of high-quality patient care.
- Provide reception and frontline administrative support for the ICU.
- Manage patient admissions, transfers, discharges, and bed management documentation.
- Maintain accurate patient information within electronic and paper-based record systems.
- Coordinate communication between medical officers, nursing staff, allied health professionals, patients, and families.
- Answer and direct telephone enquiries in a professional and compassionate manner.
- Prepare, distribute, and file clinical and administrative documentation.
- Arrange patient transport, appointments, and investigations as required.
- Monitor and order ward supplies, stationery, and administrative resources.
- Support compliance with NSW Health policies, privacy legislation, and record management requirements.
- Assist with data entry, reporting, and other administrative functions to support unit operations.

How you'll be supported:
The successful candidate will be welcomed by a supportive Administration Manager into a collaborative Intensive Care Unit team and provided with a structured orientation to the role and the John Hunter Hospital environment.
Support will include:
- Comprehensive onboarding and orientation to ICU administrative processes, workflows, and hospital systems.
- Ongoing guidance and supervision from the Nurse Unit Manager (NUM) and senior administrative staff.
- Access to experienced ward clerks and multidisciplinary team members for day-to-day support and knowledge sharing.
- Training in relevant NSW Health policies, procedures, and electronic systems.
- Regular feedback, coaching, and performance development discussions.
- Opportunities to develop knowledge of healthcare administration, medical terminology, and ICU-specific processes.
