POSITION PURPOSE/OBJECTIVE

This position provides high-level project support to the CEO and Program Leader,
Partnerships and Special Projects. The Project Officer supports key organisational
projects that deliver high quality outcomes, on time and within budget.

This position will also provide high level administrative and executive business support to
Office of the Chief Executive Officer and will develop and support systems and processes
to ensure the efficient and effective delivery of outcomes by the OCEO.

Initiatives

KEY RESPONSIBILITIES

This position is responsible for:

Providing high-level administrative support to the CEO and Program Leader,

Partnerships and Special Projects.

Preparing straightforward reports, documents and presentations to a wide range of

enquiries, some of which may be complex.

Assisting and supporting events, workshops and meetings, including preparation of

agendas and taking of minutes.

Assisting with the preparation, updating and distribution of project schedules, budgets

and progress reports as well as monitoring and reporting on activities.

Providing back up and support to the Executive Assistant to the CEO when required.

Providing quality and effective customer service and responding to a broad range of

complex enquiries.

Researching and analysing information and data on a range of issues pertinent to a

project or initiative.

Developing and implementing business and administrative processes and systems

that manage and monitor performance as well as foster continuous improvement.

Other project, administrative and office management-related project officer duties, as

required.

Workplace Health & Safety

Ensure compliance with WHS obligations and responsibilities as outlined in Councils
policies and procedures and under the relevant WHS legislation. These include but are
not limited to: identifying potentially unsafe situations or work practices and notifying your
Supervisor or Manager (or the Health, Safety Manager/Area Safety Representative);
never performing a task that you believe is dangerous or for which you do not have the
experience, or have not received appropriate instructions and training or where the correct
equipment to carry out the task safely is not available; always work in a safe manner and
in accordance with safety instructions, where applicable; use the work equipment supplied
for the job, in accordance with the manufacturer's instructions), and any personal
protective equipment, which the Council deems necessary and has provided; be safety

aware and report any actions to your line manager which will assist the Council to meet
its legal workplace health and safety obligations.

You have the right to cease or direct cessation of unsafe work. In addition, you are required
at all times to comply with Councils Asbestos Management Plan and Policy.

COMMUNICATION

The position involves communication, verbal and written, at all levels within the OCEO,
across the Council, government agencies, businesses and with the community in relation
to the business and operations OCEO and council project teams. Well-developed verbal
and written communication skills are required, as are strong negotiation skills to assist in
the resolution of challenging problems.

JUDGEMENT & PROBLEM SOLVING

A degree of independence and autonomy is required in making decisions in relation to
work priorities within agreed projects and guidelines. Judgement and problem-solving
skills are utilised to initiate change and improve work processes and to assess a number
of options for continuous improvement.

AUTHORITY

The position is required to be able to assess and remedy or refer to the day-to-day
problems that arise pertaining to projects. The position is required to complete work that
has various levels of complexity.

The position incurs operating and capital expenditure on behalf of Council in accordance
with budget to the value of $500.

SKILL, EXPERIENCE, QUALIFICATIONS & BEHAVIOURAL COMPETENCIES

Essential:

High-level organisational and administrative skills and experience.

Demonstrated experience of applying project, administrative, business, budgeting

and planning skills in a complex work environment.

Proven ability to support the planning, management and delivery of projects

including contract management.

Well-developed interpersonal skills with the ability to work well within a team and

gain the co-operation from a wide range of individuals.

Well-developed written skills with demonstrated ability to prepare memos, reports,

presentations, agendas and minutes.

Demonstrated experience in providing high-level customer service.

Demonstrated ability to be flexible, work under pressure, handle multiple tasks and

meet deadlines.

High-level experience with information technology and, in particular with Microsoft

Office including word processing, spreadsheet, presentation and project
management software.

Sound knowledge and commitment to Equal Employment Opportunity and

Occupational Health and Safety principles and their application in the workplace.

Desirable:

Experience working in Local Government.

Current Class C Driver’s Licence.

Knowledge of the following software systems – Pathways, TRIM and BIS.

Understanding of local government functional issues and processes together with

the Council’s role in the community.
