Office Administrator – Golden Har Pty Ltd

Golden Har Pty Ltd is a NSW-based business specialising in the import, supply and distribution building products to builders, shopfitters and commercial projects.

Due to the continued growth of our business, we are seeking a reliable and organised Office Administrator to support our daily business operations.

Key Responsibilities

Provide general administrative and office support to the Managing Director and business team.
Answer telephone calls, respond to emails and handle general customer enquiries.
Prepare quotations, invoices, purchase orders and other business documents.
Maintain customer, supplier, project and order records.
Liaise with builders, customers, suppliers and service providers regarding orders and deliveries.
Communicate with overseas suppliers regarding purchase orders, production progress and shipping documentation.
Assist with coordinating international shipments, freight forwarders, customs brokers and local delivery arrangements.
Maintain records of invoices, receipts, payments and business expenses for the accountant.
Monitor outstanding customer payments and supplier invoices.
Organise and maintain electronic and physical filing systems.
Schedule appointments, meetings and deliveries.
Assist with preparing project documentation and product information for builders and customers.
Follow up orders and provide customers with updates regarding production and estimated delivery dates.
Assist management with general business administration and day-to-day office operations.
Perform other reasonable administrative duties as required.

About You

The successful applicant should have:

Previous experience in office administration or a similar role.
Good organisational and time-management skills.
Strong written and verbal communication skills.
Ability to communicate professionally with customers, builders and suppliers.
Good computer skills, including Microsoft Word, Excel, Outlook and general office software.
Ability to prepare and maintain accurate business records.
Ability to work independently and manage multiple tasks.
Attention to detail and a responsible approach to work.
Experience in construction, building materials, importing, logistics or wholesale businesses would be advantageous but is not essential.
Mandarin language skills would be advantageous due to communication with overseas suppliers, but are not essential.
