About the Role
An exciting opportunity exists for an enthusiastic and compassionate Administrative Assistant to join our GEM@Home team at St Vincent’s Hospital Melbourne. GEM@Home provides hospital-level care in patients’ own homes, supporting them to achieve their best possible level of health, independence and function outside the traditional hospital setting. As an Administrative Assistant, you will play an important role in supporting the day-to-day operations of the service and ensuring our multidisciplinary clinical team can provide seamless, patient-centred care. You will often be the first point of contact for patients and their support networks, making your ability to communicate with kindness, empathy and professionalism essential to the role.
Key responsibilities include:
Provide high-quality administrative and clerical support to the multidisciplinary GEM@Home team.
Create, maintain and manage patient records within the Patient Administration System and associated document management systems.
Support patient onboarding and discharge processes, including scheduling visits and coordinating patient feedback.
Manage incoming calls and enquiries with professionalism, compassion and empathy, helping patients and their support networks navigate their care.
Provide administrative and data entry support to the clinical team, ensuring timely follow-up and accurate management of patient information.
Coordinate interpreter bookings, fleet vehicles, maintenance requests and office and clinical supplies.
Support scheduling and coordination of patient visits and service activities.
Develop strong working relationships with acute and subacute administrative teams and other key stakeholders across St Vincent’s.
Classification: HS1–HS17 ($58,442.80 - $64,610.00 per annum, pro rata for part time).
Your Contribution
To be successful in this role, you will bring:
Relevant administrative experience, preferably within a healthcare setting.
Highly developed interpersonal and communication skills.
A compassionate and patient-focused approach to customer service.
Strong organisational skills and attention to detail.
Advanced computer literacy, including proficiency across Microsoft Office applications.
The ability to manage competing priorities in a busy environment.
Demonstrated experience working collaboratively as part of a team.
A current National Criminal History Check, or willingness to obtain one.
Desirable:
Qualifications in medical terminology and/or administrative training at Certificate or Diploma level.
Experience coordinating schedules and using scheduling platforms.
Knowledge or experience using digital care platforms and/or supporting virtually enabled healthcare services.
About GEM@Home
GEM@Home is part of St Vincent’s Care at Home, a division of St Vincent’s Health Australia providing oversight of at-home healthcare services across SVHA. The service delivers care beyond traditional hospital walls, allowing eligible patients to receive high-quality healthcare in the comfort of their own homes. GEM@Home operates seven days a week and brings together a multidisciplinary team including Geriatricians, Nursing, Allied Health, Pharmacy and Administration, with additional specialist support available as required. This position is based at St George’s Hospital in Kew and reports through the St Vincent’s Care at Home Healthcare division.
