WARD CLERK POSITION DESCRIPTION

Position Title: Ward Clerk

Department: Finance Department

Reporting To: Patient Services and Administration Manager, Nursing Unit Manager

Terms:

Remuneration:

1. POSITION SUMMARY

The Ward Clerk will be responsible for performing all administrative functions as they
relate to the administrative aspects of inpatient wards, patient transfers, leave,
admissions and discharges, billing, and medical records management. The Ward Clerk
will refer to the nursing team and take direction from the Nursing Unit Manager (NUM).

The Ward Clerk will be trained across the whole of the administrative workflow in all
departments. Ward Clerks may move around the hospital to provide other departments
with administrative support.

Members of the Administration Team are responsible for supporting patient care and
clinical teams through timely completion of all work within shift times.

2. KEY ACCOUNTABILITIES

Inpatient Stay and Discharge:

Support the clinical team in all areas of administration on the wards
Ward reception and telephone support

Preparing patient admission and discharge documentation and ward folders
Prepare documentation for patient inter-ward transfers

Check room readiness in preparation for patient arrivals

Interdepartmental administrative collaboration
Participate in shift huddles

Information Technology:

Competently using the patient administration system (Dedalus webPAS) to

manage the patient folder throughout their stay

Updating webPAS with patient movements, expected discharge date and care-

type changes

Complete all data entry related to patient direct admission, leave, transfers and

discharge

Scanning clinical documents to clinical record within 24-hour post-discharge KPI

Clinical Support:

Liaise with consulting suites, referring doctors and hospitals for patient bookings

and direct admissions

Day of admission administration activities, including follow up of missing

information

Provide support to Nurse Unit Managers (NUM) and Clinical Staff when working

on the ward

Billing and Finance Support:

Conduct patient health fund checks and preparing Informed Financial Consent

(IFC)

Escalating patient billing enquiries and concerns to the billings department

Quality Management:

Thorough understanding of the National Safety & Quality Health Care Services

Standards

Participation in quality improvement activities within your department and

throughout the hospital

Prepare clinical documents for scanning according to order of forms

Ensuring data entry for statutory reports is correct
Commitment to incident reporting via LogiQC according to your role

Patient Care:

Providing patients and their families with timely responses to questions related

to patient stay

Providing patients and their families support with the CBord Patient Food

Ordering system

Refer to clinical staff where inquiries extend beyond the responsibilities of

administration

Work Health and Safety:

Adhere to Wyvern private Hospital’s Work Health and Safety Standards in all

areas of work

Adhere to Wyvern Dress Code Policy including footwear

4. SKILLS, ATTRIBUTES & COMPETENCIES

4.1 Essential
• Private hospital administration experience

Demonstrated ability to adopt new documentation and administration systems
Demonstrated ability to take direction from clinical staff and work collaboratively with

the nursing team

Advanced level of computer skills with the aptitude to learn new software and

systems

Proficiency in MS Office Suite and data entry software
Experience working in a healthcare setting
Strong organisational and multitasking abilities
Excellent communication and customer service skills
High level of attention to detail and accuracy
Ability to handle confidential information
Ability to develop corporate documentation
Demonstrated experience in process improvement and workflow efficiency
Clear and effective communication skills with clinical staff and other administrators
Ability to work autonomously and use rigorous logic to problem solve
Ability to work collaboratively and share information and knowledge with Wyvern

team

Advanced Certificate or relevant skills and training
Valid ‘Working With Children Check’
Willing to conduct a police background check

4.2 Desirable
• Experience working as a Ward Clerk in a Private Hospital

At least 2+ years’ experience in health care or related industry
Experience with WebPAS Patient Management System

Experience with LogiQC Risk Management System
Experience with customer relations and patient care

Understanding of the role of administrative practices and data quality in providing safe

care

Familiarity of medical terminology
