About the role
EDU has a newly created position of a Business Analyst in Student Administration.
This role is responsible for analysing and improving business processes and ensuring that system configuration, data migration and testing activities support the successful implementation of the Student Management System at Ikon Institute.
The role works closely with stakeholders across Student Administration, Academic, Finance & Student Experience to document current-state processes, design future-state processes, & ensure the system aligns with organisational needs & regulatory requirements.
This is a fixed term 12 month opportunity
Key Responsibilities
Process Mapping and Analysis
- Review, validate and refine existing business and functional requirements with stakeholders as needed.
- Map as-is processes related to the Student Management System across Higher Education functions, including Student Administration, Student Finance, Student Experience, Timetabling, Academic Teams and School Operations
- Identify inefficiencies, manual workarounds, compliance gaps and opportunities for improvement in processes
- With stakeholders across EDU, design the future state processes with a focus on reducing manual workarounds and manual data entry and creating an improved student experience
- Maintain accurate and up-to-date project documentation including process maps, requirements, and decision logs
System configuration support
- Work with the project team and vendor to ensure system configuration aligns with agreed business requirements
- Validate system configuration against agreed requirements and process design
- Conduct gap analysis between system capability and business requirements, working with vendor to define solutions or workarounds
- Define and document data mapping rules between legacy and new systems
- Support data cleansing activities with business stakeholders
- Validate migrated data through reconciliation and testing processes
- Identify and resolve data quality issues in collaboration with stakeholders and vendor
User Acceptance Testing
- With the vendor and SMS Project Manager, define test cases and acceptance criteria
- Coordinate UAT across business teams
- Track defects, issues and resolutions, ensuring timely escalation where required
- Ensure test outcomes are documented and signed off by relevant stakeholders
Training and change management
- Support the Project Manager in preparing business stakeholders for system and process changes
- Develop process documentation and user training materials to support adoption of the new system
- Facilitate walkthroughs and training sessions for business users as required
- Provide input into change impacts and readiness based on process, data and system changes
- Build and maintain effective working relationships with stakeholders to support engagement and adoption
Key Responsibilities
- Qualification in relevant field or equivalent experience
- Minimum 3 years' experience in business analyst roles
- Experience working with student systems in a Higher Education context essential
- Understanding of the regulatory environment of Higher Education including TCSI reporting
- Experience in business process mapping essential
- Experience with UAT coordination preferred
- Excellent people management skills with the ability to work with a variety of internal and external stakeholders
- Strong stakeholder engagement and communication abilities
- Proven ability to manage competing priorities and solve problems
- Proficiency in Microsoft Office365
- Cross cultural awareness
