About the Role
We are seeking organised and detail-oriented Financial Planning Administration Assistant to join our professional and friendly team based in North Sydney.
This is an excellent opportunity for an experienced financial planning administrator who enjoys client interaction, , and is looking to build a long-term career within the financial advice industry.
Working closely with our Senior Financial Planner, you will play a key role in supporting the advice process, ensuring a high level of client service, and assisting with the implementation and ongoing management of client strategies.
Key Responsibilities
- Provide administrative support to the Senior Financial Planner throughout the advice process.
- Prepare and process client documentation and correspondence.
- Manage client communications, appointments and meeting coordination.
- Maintain and update client records within Xplan.
- Assist in the preparation of Records of Advice (ROAs), annual review documentation and client reports.
- Coordinate advice implementation, including superannuation, investment, pension and insurance recommendations.
- Prepare fee disclosure statements and ongoing fee renewal documentation.
- Manage annual review workflows and client follow-up activities.
- Liaise with superannuation funds, insurers, investment and other external stakeholders.
- Respond to client enquiries in a professional and timely manner.
- Assist with practice administration and business improvement initiatives.
- Work collaboratively with advisers and administration staff to deliver exceptional client outcomes.
Skills and Experience
To be successful in this role, you will have:
- Previous experience in a financial planning administration or client services role (essential).
- Exposure to SMSFs and superannuation administration.
- RG146 qualifications (or working towards completion).
- Strong organisational skills with the ability to manage multiple priorities.
- High attention to detail and accuracy.
- Exceptional written and verbal communication skills.
- A proactive, positive and professional attitude.
- Strong problem-solving skills and ability to work independently.
- Advanced Microsoft Office skills, including Word, Excel and Outlook.
- Experience using Xplan CRM (essential).
- Experience working with employer superannuation funds such as Colonial First State, Insignia Financial (IOOF), Mercer, MLC or similar providers is highly desirable.
- The ability to work effectively within a collaborative team environment.

Pay: $60,000.00 – $90,000.00 per year
