What this opportunity involves: As a Casual Workplace Coordinator at JLL, you'll serve as the vital connection between our clients, service providers, and internal teams to ensure exceptional facility operations. You'll provide high-level support to the Facilities Management team while maintaining outstanding service standards across administrative and operational functions. Working alongside the Account Team, you'll proactively manage day-to-day operations, oversee vendor performance, and ensure our clients' workplaces remain safe, productive, and welcoming environments for all occupants. At JLL, we are collectively shaping a brighter way for our clients, ourselves and our fellow employees, and you'll play a key role in bringing this vision to life through operational excellence, proactive problem-solving, and a commitment to delivering service that exceeds expectations.
An overview of the role: Deliver superior customer service by responding to on-site client needs, managing vendor and subcontractor performance through regular inspections, and maintaining strong relationships with building occupants
Coordinate conference room bookings, prepare meeting spaces, arrange catering, and process weekly consumables orders while maintaining accurate inventory and facilities management records
Oversee site cleanliness standards by directing cleaning staff, conducting regular inspections, organizing specialty cleaning services, and ensuring spaces remain welcoming and productive
Support financial processes by assisting with accurate and timely completion of invoicing, purchase orders, and budget tracking activities
Provide administrative support for security clearance processes, working with the Contract Administrator to ensure compliance and timely renewals
Assist with health and safety procedures, risk management programs, incident reporting, and maintaining compliance with JLL's business conduct guidelines across all facility operations
Sounds like you? This is what we are looking for: Proven experience in property, facilities, or project management fields with demonstrated knowledge of technical services and building operations
Strong proficiency in English communication and advanced skills in Microsoft Excel, including data analysis and financial tracking capabilities
Excellent organizational skills with the ability to manage multiple complex issues simultaneously within tight deadlines while maintaining attention to detail
Outstanding customer service orientation with receptionist or front-of-house experience and a proven ability to build and maintain professional relationships
Goal-oriented mindset with a track record of meeting performance targets and service level agreements in collaborative team environments
Experience using preventive maintenance (PPM) systems, JD Edwards (JDE) or similar financial systems, and proficiency with the full Microsoft Office suite preferred
