THE ROLE

The Executive Assistant while forming part of a team is primarily responsible for providing administrative support to the Managing Principal as well as secretarial and clerical support. The position is diverse and wide-ranging, requiring you to circumvent a variety of personal and professional duties. As such you will be required to perform duties with the highest level of discretion and independent judgement. You must therefore be proactive, pay meticulous attention to detail, and be well-organized. Strong interpersonal and communication skills, as well as proficiency in Microsoft Office, are also necessary for the position.

REQUIREMENTS

Preferably, you will have experience working as a PA or EA in a professional context and be searching for your next career move. Someone having the smarts and ability to co-ordinate, manage and work in an occasional/often challenging environment while maintaining a can-do attitude. This position may require outside the norm tasks; therefore, the ideal applicant will have a down-to-earth, amiable, and courteous approach.

ROLES AND RESPONSIBILITIES

Provide support to the Managing Principal and ensure efficiency and effectiveness within the FerrierSilvia Office.

Daily meeting with Managing Principal providing 1:1 support.
Dictaphone work both for the Managing Principal and other senior team
Managing Principal’s diary management
Organising and planning meetings with internal and external stakeholders, ensuring that invitations have been sent out, rooms booked, equipment & meeting applications are set -up and the Managing Principal has correct document pack for meetings.
Email management for the Managing Principal
Printing and distributing all reports as directed by the Managing Principal
Attend to travel arrangements -domestic and international.
Some events management in conjunction with the marketing/events advisor
Project management as directed by the Managing Principal
Preparation of PowerPoint presentations as required.
Various administration duties (photocopying, printing, and data entry duties etc.)
Assisting the Managing Principal with private investments and businesses
Ad hoc duties as required and directed.
