We’re a close-knit team based in Unanderra, and we’re currently looking for an experienced and proactive Administration Assistant to support the smooth running of our daily operations.
About the Role
As our Administration Assistant, you’ll play a key role in supporting our on-site and office operations. You'll report directly to the Director & Sales Team and assist in a wide range of administrative duties to keep our workflow efficient and organized.

Key Responsibilities
· Provide general office support: filing, scanning, photocopying, shredding, and data entry
· Organize and maintain both digital and physical records and job folders
· Handle incoming/outgoing correspondence: mail, emails, and courier bookings
· Answer and direct phone calls, respond to general inquiries
· Ensuring the upkeep of insurance & licenses for all vehicles, equipment, property and workers
· Liaise with suppliers, subcontractors, and clients
· Assist with preparation and submission of job site documentation
· Keeping all registers up to date, licenses, suppliers, hazards, incidents, risk, chemicals
· Track job site bookings, start dates, and progress updates
· Support scheduling and coordinating delivery of fencing materials
· Maintain compliance paperwork and WHS records
· Process supplier invoices, receipts, and timesheets for payroll
· Raise purchase orders for office and site supplies
· Manage internal calendars, book site meetings and deliveries
· Coordinate training sessions and staff inductions
· Assist with WHS documentation including incident reports
· Maintain training/license records, restock office and PPE supplies
· Log maintenance requests and vehicle servicing

About You
To be successful in this role, you’ll need to bring:
· Minimum 2 years’ experience in an office administration or office management role
· Past Experience using Simpro Suite & Xero
· Experience in maintaining a Environmental, Safety & Quality Management System (Relevant to ISO Certifications) - would be looked upon highly valuable
· Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel)
· Excellent organizational and time management skills
· Ability to work independently and handle multiple priorities
· Strong communication skills – both written and verbal
· A proactive attitude and high attention to detail
Pay: $60,000.00 – $90,000.00 per year
