Introduction:
Administrative Assistant – School Improvement & Learning
Temporary part-time (45.6 hours per fortnight) | 12-month opportunity commencing 20 July 2026 | Newcastle West

Help drive excellence in teaching and learning across our Diocese.

We're looking for a highly organised and proactive Administrative Assistant to support the School Improvement & Learning team. You'll play a key role in coordinating professional learning, managing communications, and supporting initiatives that enhance educational outcomes across our schools.

Description:
POSITION DESCRIPTION

The Administrative Assistant School Improvement & Learning will play a key role in providing comprehensive administrative support to ensure the efficient operation and success of the School Improvement & Pedagogy team. Working closely with the Head, System Leaders, Executive Assistant and the wider School Improvement & Pedagogy team, this role will assist in the coordination of initiatives aimed at fostering innovative pedagogical practices and operational functions aligned with the strategic goals of Catholic education.

The Administrative Assistant will contribute to the implementation of curriculum strategies, professional learning and networking opportunities, and resource development by managing schedules, communications, documentation, and logistics. The role will also be engaged in supporting team projects and initiatives as well as ad hoc administrative tasks. Through attention to detail and proactive organisational support, this role will help the team achieve their goal of continuous improvement and excellence in operational functions across Diocesan schools.

Skills and Experiences:
EXPERIENCE/CRITERIA

Ability to articulate a clear understanding of and a personal commitment to Catholic education and the mission of the Church through Catholic schools.
Demonstrated ability to work within a team, manage multiple projects with competing priorities, deliver expected outcomes within set timeframes, prioritising and meeting deadlines, and working unsupervised to meet team objectives.
Advanced digital and desktop publishing skills (all Microsoft Office programs), and ability to use data and analytical programs (including Excel) and survey tools.
Strong conceptual, analytical, and problem-solving skills and the ability to develop andimplement practical and workable solutions in a large and complex organisation in line with Diocesan standards, policies, and procedures.
Ability to collaborate to support the establishment of team protocols that support accurate record keeping and file management and maintain a high level of confidentiality.
Excellent written communication skills, strong verbal communication skills and interpersonal skillswith demonstrated ability to respectfully establish and manage relationships with people at all levels to promote consensus, forge partnerships and build trust through consistent actions, values and communications.

QUALIFICATIONS

Relevant tertiary qualifications (Business degree or Diploma level qualification in relevant field) or relevant industry experience
Current paid NSW Working with Children Check (WWCC) number
Current driver’s license
