• Casual Opportunity – External Engagement Assistant

Administrative and event support role based on-site (with some flexibility depending on business needs)
HEO 5, Step 1, $63.90 per hour plus super

About the opportunity

We are seeking a proactive and highly organised External Engagement Assistant to provide a wide range of administrative and event support to the External Engagement team within the Business School. This role is integral in ensuring the smooth delivery of day-to-day operations, supporting key projects, and coordinating events and stakeholder engagement activities.

You will play a key role in managing administrative processes, coordinating meetings and events, processing invoices, and supporting project planning initiatives. This is a fast-paced and collaborative environment, ideal for someone who is process orientated, enjoys admin-focused work, thrives on organisation, and is confident engaging with both internal and external stakeholders.

Your key responsibilities will be to:

• provide high-quality day-to-day administrative support including calendar management, correspondence handling, and general coordination

support the planning and delivery of events, including bookings, invitations, catering, and RSVP management
process invoices and expenses using Concur and assist with financial administration activities
maintain and update systems such as Salesforce, Asana, and shared databases, ensuring accurate record keeping and communication management
assist with project planning, tracking timelines, preparing reports, and monitoring budgets
build and maintain effective relationships with stakeholders and support communication across role-based accounts and external partners.

About You

• demonstrated experience in administrative support

strong organisational and time management skills with the ability to manage multiple priorities
experience with invoicing, purchasing, and systems such as Concur, Salesforce, Asana or similar platforms
event coordination or event support experience (highly valued)
excellent communication skills with confidence engaging with a range of stakeholders
proactive approach with strong attention to detail and ability to use initiative.
