In this role, you will help create a workplace experience that enables Ivanti employees, customers, and visitors to do their best work. As part of our Global Workplace Solutions (GWS) team, you will ensure our Australia office remains a safe, welcoming, and well-organized environment that supports productivity, collaboration, and business success.

Your work will have a direct impact on employee experience, operational efficiency, and the smooth running of day-to-day office activities. From supporting workplace operations and vendor relationships to coordinating meetings and welcoming visitors, you will play a vital role in keeping our workplace running seamlessly. This is a part-time, in-office position working Monday to Friday from 8:00 a.m. to 12:00 p.m.

What you'll do

Serve as the primary on-site point of contact for workplace operations, ensuring the office runs smoothly and efficiently.
Support employees, leaders, and visitors through exceptional customer service, meeting coordination, and day-to-day office administration.
Manage workplace services, including security, cleaning, waste management, catering, postage, parking, and office supplies.
Coordinate meeting room schedules and support the planning and execution of onsite meetings and events.
Partner with the local property management company and third-party vendors to maintain high workplace standards.
Support VIP visits and provide a professional and welcoming experience for employees, customers, and guests.
Identify opportunities to improve workplace operations, enhance employee experience, and support cost-effective facilities management.

What you will bring

Required

Up to 2 years of experience in facilities coordination, workplace operations, office administration, or a similar role.
Strong customer service mindset with a proactive and solution-oriented approach.
Excellent organizational skills and the ability to manage multiple priorities simultaneously.
Strong verbal and written communication skills.
Ability to work independently while collaborating effectively with broader teams.
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
High level of professionalism and discretion when handling confidential information.

Preferred

Experience supporting a global organization or distributed workforce.
Experience managing vendor relationships and coordinating workplace services.
Familiarity with workplace health, safety, and compliance practices.
Experience supporting executive or VIP visitors.
