About the department

The department provides a wide range of learning and development support and services.

The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.

About the division

The Communications Division collaborates with key stakeholders to strategically shape and deliver communication and community engagement opportunities.

The division is responsible for the delivery of communications on behalf of the department to support and improve Victoria's education.

The partnership allows the division to support the Victorian Government priorities in early childhood development, and school education. This includes engaging with the Department's workforce, supporting the implementation of policies and reforms, protecting, and strengthening the reputation of our education and providing communications support and advice to the Victorian Government.

The Public Communications Branch has responsibility for the department's external communications and provides communications advice and support to Ministers and senior executives.

The branch is responsible for media management, crisis communications, major events and speechwriting. The branch also identifies and delivers opportunities to generate positive publicity for Victoria's education system.

The Major Events Team develops, plans and delivers major departmental events and provides events management services and advice.

The Major Events Team is a team of event management specialists who work across portfolios and key areas of the department to deliver a range of high-quality major events annually.

The team works closely with other teams across the Communications Division to deliver events that are aligned to strategy and support the department's positive promotion of Victoria's education system.

About the role

The Major Events Assistant facilitates and supports the organisation of events aligned to the Department's business objectives, foster collaborative relationships with clients, suppliers, partner organisations and colleagues.

The Major Events Assistant supports other members of the Major Events Team to deliver high quality events, including the Department's major events, along with a number of key internal events across the calendar.

The Major Events Assistant requires a strong understanding of Department processes, proficiency in office and online event software, strong communication skills, detail focus and the ability to work collaboratively throughout all project touch points to produce successful outcomes.

The role will also be required to support other communications activities and work across multiple projects consecutively within the Major Events Team.

The Major Events Assistant reports to the Major Events Manager.

Key responsibilities:

Contribute to projects across areas such as event collateral, reporting and project progress tracking
Maintain accurate and relevant databases/registers for tracking event registrations, evaluation and planning at the conclusion of major events
Prepare documents including reports, presentations, spreadsheets, publications, power point documents, graphs and charts - all related to event and project activities
Processing of all procurement documentation including requisitions, purchase orders and invoices
Direct and monitor email correspondence as required
Organise couriers, mail outs and event transportation as required

The successful candidate will demonstrate:

experience in supporting on large government projects or major events
excellent verbal and written communication skills
high level attention to detail and ability to interpret and apply relevant policies to work
strong interpersonal skills and commitment to delivering high quality outcomes for clients
the ability to work on multiple projects and competing deadlines
proficiency in the Oracle Finance System and software applications including Microsoft Word, Microsoft Excell and Power Point
values driven
