Admin Assistant - Visa Processing | Sydney, NSW

Skillverse Education & Migration is seeking a meticulous Admin Assistant to join our team at our Parramatta office!

The Role:

Visa Processing & Documentation:

Process and manage visa applications with accuracy and care

Prepare, review, and lodge visa applications through ImmiAccount

Conduct document checks and ensure compliance with Department of Home Affairs requirements

Follow up on visa application status and communicate updates to clients

Maintain accurate client files and case management records

Client Management:

Provide face-to-face consultations and support to clients

Respond to client inquiries via WhatsApp, email, and phone

Conduct initial client assessments and eligibility checks

Build and maintain strong client relationships throughout the visa process

Address client concerns and provide timely solutions

Administrative Support:

Coordinate with Department of Home Affairs and educational institutions

Schedule appointments and manage consultant calendars

Prepare correspondence, reports, and documentation

Process invoices, payments, and maintain financial records

Update and maintain CRM/database systems

Compliance & Quality Assurance:

Stay updated on Australian migration law and policy changes

Ensure all processes comply with MARA regulations and company standards

Conduct quality checks on applications before lodgement

Maintain confidentiality and data security protocols

Team Collaboration:

Coordinate with clients across Australia, Philippines, Jordan, India, Sri Lanka, and South America

Support migration agents and consultants with case preparation

Participate in team meetings and contribute to process improvements

Assist with marketing activities and client events as needed

What We're Looking For:

✅ Experience in visa processing or migration services (preferred)

✅ Strong attention to detail and organizational skills

✅ Excellent written and verbal English communication

✅ Australian work rights

✅ Familiarity with Australian migration regulations (highly regarded)

✅ Professional presentation and client-facing skills

✅ Proficiency in MS Office and database management

✅ Self-motivated team player with time management skills
