The opportunity
We are seeking a dedicated and highly organised Program Support Officer to join the headspace South Melbourne team. This is an exciting opportunity to contribute to the delivery of high-quality youth mental health services while supporting a broad portfolio of programs across the centre.
As a key member of the team, you will work collaboratively with the headspace Manager and stakeholders across Clinical Services, Community Engagement, Reception, and the GP Clinic. Your work will help ensure programs operate efficiently, contractual obligations are met, and young people continue to receive accessible, high-quality care.
This Max term part-time 0.6 EFT parental leave role until August 2027, that may involve occasional after-hours and off-site work to support program delivery, events, and organisational requirements.
About the role
The Program Support Officer provides operational, contract management, and administrative support across the headspace South Melbourne. Working closely with the headspace Manager, you will play a critical role in streamlining processes, coordinating program activities, maintaining compliance, and supporting continuous quality improvement initiatives.
You will be responsible for preparing and coordinating SEMPHN reports, supporting accreditation activities, maintaining accurate records and documentation, and ensuring policies, procedures, forms, and program materials remain current and compliant.
A key focus of this role is supporting reporting requirements for funding bodies and ensuring contract deliverables, performance measures, and compliance obligations are achieved within agreed timeframes. You will also contribute to building and maintaining strong relationships with funding agencies, partner organisations, and key stakeholders.
What you will be doing
- Collating and preparing performance data and KPI reports across consortium partnerships and programs
- Supporting program delivery through developing efficient systems, updating promotional materials, coordinating training events, and assisting with program evaluations
- Supporting contract management, including preparing reports, tracking targets, and assisting with funding applications
- Building strong partnerships with consortium members, funding bodies (such as SEMPHN), and community agencies
- Contributing to community engagement activities, promoting services, and fostering service integration across AccessHC
- Acting as a champion for governance, compliance, and quality improvement initiatives.
What you will bring Key Selection Criteria
- Relevant qualifications and/or strong experience in project administration, program support or project management roles
- Strong communication and interpersonal skills
- Proven ability to meet deadlines, manage multiple priorities within a project framework, and maintain high-quality standards
- High level of accuracy and attention to detail and strong analytical and problem-solving skills
- Proficiency in Microsoft Office and relevant software applications, use of social media and online platforms (such as Survey Monkey and familiarity with databases and client management systems
Desirable
- Experience working in a community health or youth mental health service
- Familiarity with health data management systems such as TrakCare (desirable but not essential)
- Experience with contract management or program reporting (experience with Primary Health Network contracts
