Job description

The National Capital Authority (NCA) is established under the PALM Act 1988. The NCA is a non-corporate Australian Government agency within the Department of Infrastructure, Transport, Regional Development, Communications, Sport and the Arts portfolio, and is accountable to the Minister for Regional Development, Local Government and Territories.

The NCA performs the role of trustee of the National Capital and in this capacity serves the interests of the Australian Government, and the nation and its people. In short, the NCA is responsible for:

shaping the National Capital into the future;
managing and enhancing the nationally significant parts of Canberra; and,
fostering awareness of Canberra as Australia’s National Capital.

Who we are

The Chief Executive Branch is responsible for supporting the functions of the Authority and promoting the National Capital to the broader community. This Branch has sections involving executive support, major projects, media and communication.
The Executive Support team sits within the Chief Executive Branch and is responsible for providing high level support to the following senior executives:

Chief Executive
Chief Operating Officer
Chief Planner

The person we are looking for

The Executive Assistant provides high-level administrative and coordination support to NCA senior executives, ensuring priorities are managed effectively and efficiently. The role requires strong organisational skills, attention to detail, and a client-focused approach to delivering high-quality support services.

Duties

Under general direction, key duties of the Executive Assistant will include, but are not limited to the following:

Provide high-level EA, administrative and coordination support to NCA Senior Executive Service (SES) officers, including managing complex calendars, coordinating meetings, and proactively managing competing priorities and commitments.
Support the planning and delivery of a range of meetings, including Board meetings, by coordinating travel and accommodation, and arranging venues, catering, and other logistical requirements.
Manage incoming and outgoing communications, including emails and telephone enquiries, acting as a key point of contact and ensuring timely and professional responses.
Contribute to the preparation and coordination of Senate Estimates briefs, Ministerial submissions, and parliamentary enquiries, as required.
Coordinate travel arrangements and process travel bookings and reconciliations in accordance with relevant policies and procedures.
Provide finance administration support, including corporate credit card acquittals, reimbursements and related transactions, ensuring compliance with relevant policies.
Assist in the preparation of documents by undertaking formatting, proofreading and quality assurance checks to ensure accuracy, consistency and presentation standards are met prior to submission.
Handle highly sensitive information with integrity and discretion.
Actively contribute as a collaborative member of the NCA, providing support across the organisation and undertaking additional duties as reasonably required.

Qualifications/Mandatory Requirements

Qualifications or demonstrated experience in a relevant field is desired.

Preferred experience

Experience and proficiency in using MS Office suite, Adobe Acrobat Standard, Content Manager (TRIM) or similar technology solutions.
Experience working in the APS environment is highly desired.

Selection Criteria

Demonstrated organisational skills, including the ability to manage multiple tasks, prioritise competing demands, meet deadlines, and maintain accuracy in a fast-paced environment.

Demonstrated ability to communicate effectively with a range of internal and external stakeholders, prepare and proofread documents, manage correspondence, and provide professional client service.

Proven ability to produce accurate and high-quality work, including document preparation, record management, financial administration, and quality assurance checks, while maintaining confidentiality and discretion.

Demonstrated ability to build and maintain productive working relationships with executives, colleagues, government agencies, and external stakeholders, providing responsive and client-focused support.
