Office Administrator – Accounts Payable & Accounts Receivable

Mega Saw is a well-established and highly respected concrete cutting company based in South East Melbourne. We specialise in concrete sawing and concrete drilling for residential, commercial and industrial projects and pride ourselves on providing reliable, professional service to our clients.

We are currently seeking an experienced Office Administrator with strong Accounts Payable and Accounts Receivable experience to join our friendly team in a full-time, office-based position.

About the Role

This is a varied role that will see you supporting the day-to-day administration of the business while managing our accounts and assisting the operations team.

Your responsibilities will include:

Answering incoming phone calls, directing calls and taking messages
Processing supplier invoices promptly to ensure payment deadlines are met
Managing Accounts Payable and Accounts Receivable
Following up outstanding debtor accounts
Sending debtor statements
Preparing quotes, correspondence, reports and other business documents
Processing data and maintaining accurate records in Xero
Entering creditor invoices and preparing payments for authorisation by the Company Director
Providing basic quotations over the phone and arranging site inspections where required
Assisting the Operations Supervisor with booking jobs, maintaining the job scheduling system and distributing job information to field staff when required
Providing general administrative support to the management team
Undertaking other office duties as required

About You

To be successful in this role you will have:

Previous experience in an office administration role
Strong Accounts Payable and Accounts Receivable experience
Above average knowledge of Xero (essential)
Excellent computer skills
Strong organisational and time management skills
High attention to detail
Excellent written and verbal communication skills
A professional and friendly phone manner
The ability to prioritise workloads and work independently

Experience within the construction or trade industry would be an advantage but is not essential.

Hours

Monday to Friday
8:00 am – 4:30 pm

Some flexibility may be required during busy periods to ensure key deadlines are met.

Remuneration

$70,000 – $80,000 per annum + Superannuation
Salary will be negotiated depending on experience.
