Full Job Description

We are seeking a proactive and organised Administration Officer to provide administrative support to our HR and Operations teams.

This role is responsible for ensuring the smooth day-to-day operation of the office through effective administration, record management, data entry, and employee support functions.

Key Responsibilities

Process and maintain employee timesheets accurately and in a timely manner.

Manage incoming phone calls and direct enquiries to the appropriate personnel.
Monitor and respond to general email enquiries.
Perform data entry and maintain accurate records across company systems.
Maintain employee, project, and company documentation in accordance with record-keeping requirements.
Assist with the preparation and processing of customer invoicing.
Coordinate and manage employee travel and accommodation bookings.
Support onboarding, training, and other workforce administration activities as required.
Maintain filing systems and ensure confidentiality of sensitive information.
Undertake other administrative duties as required to support business operations.

Skills & Experience

Previous experience in an administration or office support role.

Experience assisting with invoicing, accounts administration, or general finance functions.
Strong organisational skills with excellent attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Ability to manage multiple tasks and meet deadlines.
Experience within the construction, manufacturing, or trades industry is desirable but not essential.

Desirable Qualifications

The following qualifications and experience are desirable, but not essential:

Certificate III or IV in Business Administration, Business, Human Resources, or a related field.
Current driver's licence.
