About the Opportunity
Are you an organised, capable administrator with a genuine interest in community services? We're looking for an exceptional Personal Assistant to support the Director across two thriving businesses: a respected cleaning services company and an innovative allied health provider serving NDIS and Aged Care clients.
This is a varied, hands-on role where no two days are the same. You'll work at the heart of business operations—handling invoicing and payroll, managing staff schedules, nurturing client leads, ensuring compliance, and providing the administrative backbone that keeps everything running smoothly. Full training is provided on all our systems (Xero, ShiftCare and Connect Team), so enthusiasm and a willingness to learn matter far more than prior experience with these platforms.
What You'll Do
Finance & Operations (Xero)
- Draft and issue client invoices weekly and manage payroll fortnightly.
- Follow up outstanding invoices, assist with account reconciliation, and maintain accurate financial records across both businesses.
Scheduling & Coordination
- Manage staff rostering and shift schedules using ShiftCare.
- Coordinate team communication and task allocation via Connect Team.
- Liaise with support workers and cleaning staff to confirm shifts and flexibly cover last-minute changes.
Leads, Outreach & Marketing
- Respond promptly and professionally to incoming leads via phone and our business app—your friendly voice will often be a prospect's first impression.
- Follow up on prospective clients and support conversion into new business.
- Undertake outreach to prospective clients and referral sources.
- Manage social media posting and content for both businesses, helping raise our online profile.
NDIS & Aged Care Administration
- Develop a working knowledge of NDIS and Aged Care requirements, funding arrangements and compliance obligations.
- Prepare and organise documentation ahead of NDIS audits—we take compliance seriously.
- Set up and maintain accurate, well-organised client records in line with sector standards.
Employee Management & Support
- Track and maintain employee documentation (police checks, worker screening checks, first aid certificates, qualifications) to keep all staff current and compliant.
- Monitor professional development requirements and follow up renewals and training needs.
- Support onboarding of new team members and help foster a culture of growth and learning.
General Administration
- Provide day-to-day administrative and ad hoc support to the Director.
- Handle phone, email and in-person enquiries from clients, staff and other stakeholders.
- File and organise business documents and correspondence in an accurate, easy-to-find system.
Who You Are
- You have prior experience in an administration, office support or PA role.
- You're naturally organised with excellent attention to detail.
- You communicate clearly in writing and by phone, with a professional, friendly demeanour.
- You have common sense, sound judgement, and the ability to problem-solve independently.
- You're comfortable managing competing priorities and juggling two related businesses.
- You're confident on the phone, with a natural instinct for building rapport and converting leads into clients.
- You're trustworthy and discreet when handling confidential client and employee information.
- You're comfortable using or learning social media platforms (prior experience an advantage, not essential).
- Experience or knowledge of NDIS and/or Aged Care is highly valued, but not essential—we'll train you.
