About the Role
We are seeking a reliable, organised and detail-focused Data Entry & Administration Officer to join our scaffolding business in New South Wales.
This role provides administrative support to our operations, accounts, and management teams and helps ensure job records, employee information, timesheets, purchase documentation, and general office administration are maintained accurately and efficiently.
The successful candidate will be comfortable working in a fast-paced construction environment, managing multiple priorities and communicating with customers, suppliers, site supervisors and employees.
Key Responsibilities
· Accurately enter and maintain data within company systems and spreadsheets.
· Process and check employee timesheets and work records.
· Maintain job files, customer records and project documentation.
· Enter purchase orders, supplier invoices and other documentation, update and reconcile inventory.
· Enter sales orders, create sales invoices, delivery dockets and other documentation.
· Coordinate with warehouse staff for transport and deliveries.
· Assist with administration and reconciliation of accounts payable, receivable and inventory.
· Prepare and update excel spreadsheets, reports and registers.
· Assist with employee and subcontractor documentation.
· Maintain records relating to licenses, tickets, inductions and other compliance documentation.
· Upload, file and organise site documentation and photographs.
· Assist with preparation and distribution of quotes, purchase orders and other business documents.
· Answer incoming telephone calls and respond to general email enquiries.
· Communicate with customers, suppliers, scaffolders, supervisors and management.
· Follow up outstanding paperwork and documentation from site teams.
· Maintain electronic and physical filing systems and record keeping.
· Provide general administrative support to management and other departments.
· Maintain confidentiality of employee, customer and company information.
· Perform other reasonable administrative duties as required.
Requirements
· Previous experience in administration, data entry or a similar office-based role.
· Strong attention to detail and a high level of accuracy.
· Good computer skills, particularly Microsoft excel, word and outlook.
· Good written and verbal communication skills.
· Strong organizational and time-management skills.
· Ability to prioritize tasks and work to deadlines.
· Ability to work independently as well as part of a team.
· Professional and confident telephone manner.
· Ability to follow established procedures and maintain accurate records.
· Experience within scaffolding, construction, civil works or labour hire preferred but is not essential.
· Experience with accounting, payroll, job or construction management software would be an advantage.
· Australian citizen, permanent resident, or hold a valid visa with appropriate work rights in Australia.
