Senior Administrative Coordinator – Voluntary Assisted Dying Care Navigator Service

Fixed term, full time role – 80 hours per fortnight with a monthly ADO

Parkville location, with multiple public transport options available

Up to $85,597 (pro-rata for part time) + salary packaging + super + 5 weeks annual leave

About the team

The Statewide Voluntary Assisted Dying (VAD) Care Navigator Service, hosted by Peter MacCallum Cancer Centre, comprises a team of highly skilled nursing and allied health clinicians across Victoria and serves as a central point of contact for patients, families, health practitioners and health services seeking information, guidance and support in accessing or delivering VAD.

About the role

We are seeking a highly organised, proactive and compassionate Senior Administration Coordinator to be the first point of contact for the navigator service.

As senior administrative coordinator, you will provide outstanding and compassionate service to patients, carers and clinicians while ensuring smooth day-to-day coordination of the busy statewide service.

A regular day will see you:

Coordinate the day-to-day operations of the statewide VAD Care Navigator Service, managing enquiries, referrals, appointments and administrative workflows to ensure a responsive and well-organised service.

Act as the first point of contact for patients, carers, families and clinicians, providing compassionate, professional and timely information and support while responding sensitively to enquiries.

Provide high-level administrative support to the clinical navigator team, coordinating communication, documentation, meetings, reporting and other activities to enable clinicians to focus on delivering quality patient care.

Liaise with health services and key stakeholders across Victoria, ensuring information is communicated effectively and administrative processes are followed consistently across the statewide service

About you

You will have strong communication skills, an excellent attention to detail, and the ability to thrive in a fast-paced healthcare environment. Experience in health administration and patient management systems is essential.

It is important to consider that this role requires confidence and compassion when responding to enquiries from the public and discussing sensitive topics related to voluntary assisted dying and end-of-life choices.

You'll bring with you:

Expertise in coordinating departmental administrative activities relating to a clinical department

Excellent communication skills

Experience in a PA or team support position

Flexible approach to new work practices

Ability to take on new tasks as directed by the NUM

Demonstrated ability to provide a broad range of high-level administrative support functions including creation and maintenance of schedules and databases

Ability to manage invoices

Experience working within a complex service environment

Discretion dealing with confidential and sensitive information

Demonstrated skills in the use of IT systems

Competent in use of the Microsoft Office Suite
