SFDesign is a privately owned, multidisciplinary engineering and design consultancy based in Bentley, Western Australia. With a team of approximately 25 professionals, we provide structural, mechanical and piping (SMP) engineering, design, drafting, 3D laser scanning, reverse engineering and project support services to clients across the mining, resources and industrial sectors.

About the Role
We are seeking an organised and proactive Office Administrator / Office Manager to oversee the day-to-day administration of our Bentley office. This is a varied role that supports the smooth operation of the business across administration, finance, HR, accounting, and office coordination.
The successful candidate will be the central point of contact for our office and will work closely with management to ensure efficient business operations.
Key Responsibilities
Your duties will include:
- Maintain the company's bookkeeping records, including accounts payable, accounts receivable, bank reconciliations and general ledger entries.
- Prepare and lodge Business Activity Statements (BAS), Instalment Activity Statements (IAS) and Payroll Tax returns in accordance with Australian taxation requirements.
- Process payroll, superannuation and leave entitlements, ensuring compliance with Fair Work and relevant legislation.
- Liaise with external accountants, the ATO and government agencies regarding financial and compliance matters.
- Assist management with budgeting, cash flow monitoring, financial reporting and month-end/year-end processes.
- Managing the day-to-day operations of the office and ensuring a professional, efficient working environment.
- Coordinating office administration, reception, correspondence, filing and document management.
- Assisting with accounts administration, including preparing invoices, purchase orders, expense reconciliation and liaising with external accountants and suppliers.
- Supporting payroll administration, leave records, employee onboarding and HR documentation.
- Coordinating recruitment activities, interview scheduling and new employee inductions.
- Maintaining company records, licences, insurances and compliance documentation.
- Managing office supplies, equipment, IT assets and coordinating maintenance with external service providers.
- Supporting tender submissions, client documentation and project administration.
- Organising company meetings, training sessions and staff social events.
- Maintaining company procedures, templates and administrative systems.
- Providing administrative support to the General Manager, Project Managers and our team members.
- Assisting with travel bookings, accommodation and logistics for staff.
- Performing other administrative duties as required.
About You
To be successful in this role you will have:
- A Bachelor's or Master's degree in Accounting, Commerce or a closely related discipline.
- Previous experience as an Office Administrator, Office Manager, Accountant or similar administrative role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail and the ability to manage multiple priorities.
- Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook and Teams).
- Experience with accounting or project management software (e.g. Xero, WorkflowMax, MYOB or similar) is advantageous.
- A professional, friendly and customer-focused approach.
- Ability to work independently while supporting a collaborative team environment.

Pay: $80,000.00 – $100,000.00 per year
