Administrative Officer - Office of Cancer Research
Ongoing, full time position available - 80 hours per fortnight with monthly ADOs.
Up to $66,768.00 (HS2) - $73,811.92 (HS21) base salary + salary packaging + super + 5 weeks annual leave.
Parkville location, with multiple public transport options available.
About the role
The Administrative Officer will work as an integral member of the Office of Cancer Research (OCR) team, providing administrative support across the Animal Ethics Office and the Research Integrity Office. The role is responsible for coordinating animal ethics and research integrity administration, supporting University of Melbourne appointment processes, and delivering high-quality stakeholder support, reporting, record management and compliance activities within a confidential research environment.
Remuneration as per Health and Allied Services, Managers & Administractive EBA. Up to $66,768.00 (HS2) - $73,811.92 (HS21) base per annum, (full-time equivalent - to be prorated for Part Time) dependent on candidate experience. To be discussed with Hiring Manager.

Key Accountabilities

1. Animal Ethics Office (AEO) administration
Coordinate the administrative requirements of the AEO, including organising Animal Ethics Committee (AEC) meetings, room bookings, audio-visual arrangements and catering
Assist with compliance checking of AEC submissions
Provide financial management support, including processing payments, invoices and maintaining budget records.
Manage and maintain AEO intranet pages, including announcements, guidelines, forms and templates
Manage animal ethics-related data in the animal research and compliance database system
Maintain the confidentiality and security of documents and information
Undertake other duties as required by the Manager Animal Research Ethics
Contribute to broader initiatives within Peter Mac, to enhance the quality of animal research and animal care
Work effectively and collaboratively with colleagues across Peter Mac to promote ethical research practice
2. University of Melbourne appointment administration
Have a customer service approach to the role
Prepare documents for honorary and guest appointments in the Sir Peter MacCallum Department of Oncology, University of Melbourne
Manage applications and appointment acceptance for University of Melbourne appointments
Maintain records of University of Melbourne appointments to the required standards
Liaise with relevant stakeholders to obtain information within set timeframes
Flexibility to adapt to additional administrative duties to assist the Research Integrity Coordinator or Project Officer, as required
Prepare metrics-focused reports as required for executive documentation
3. High-level communication skills (verbal and written)
Communicate effectively at all levels
Adapt documents using the provided templates
Report on University of Melbourne appointments and other activities, as required
4. Confidentiality
Maintain the confidentiality and security of documents and information
Treat personal and/or sensitive information with a high degree of integrity and discretion
