Full Job Description

The Campaigns Coordinator and Personal Assistant is an entry-level, blended support role combining Personal Assistant duties with campaign administration and client coordination. A minimum of three hours per day is dedicated to direct PA support for the company Directors, covering diary management, correspondence, travel, and administrative tasks. The remainder of the role supports campaign onboarding, CRM administration, client check-ins, and lead quality assurance.

Duties and Responsibilities:

1. Personal Assistant Support (40% — minimum 3 hours per day)

Diary & Calendar Management: manage and coordinate calendars for the Company Directors, scheduling meetings and resolving conflicts.
Travel & Expenses: arrange travel bookings and itineraries; process expense claims and reconcile receipts.
Correspondence: draft, proofread, and manage email correspondence and internal communications on behalf of the Directors.
Meeting Support: prepare agendas, take minutes, and track follow-up actions for internal meetings.
Document & Filing Management: maintain organised digital filing systems for contracts, reports, and internal documentation.
Ad Hoc Support: complete miscellaneous administrative tasks and errands as directed by the Directors.

2. Client Onboarding & Campaign Kick-Off (20%)

Onboarding Coordination: manage and execute the end-to-end client onboarding process, including all manual onboarding steps, to ensure a smooth transition to live campaign status.
Access & System Setup: coordinate the provisioning of client-side access to Podiem and relevant reporting dashboards, ensuring all configurations are correct prior to go-live.
Pre-Campaign Communications: serve as a point of contact for clients in the lead-up to campaign kick-off; send welcome communications and confirm campaign parameters.
Kick-Off Briefings: prepare and organise campaign kick-off briefings or check-in calls, ensuring clients are informed on timelines, SDR allocation, and reporting cadence.

3. Campaign & CRM Administration (20%)

Allocation: ensure SDR allocation is scheduled the day prior and manage allocation updates throughout the day.
Voicemail Management: record, review, and upload SDR voicemail recordings.
Phone Number Administration: Provision new numbers, recycle low-volume DIDs, and sync with the Dev team to address spam flags or documentation requirements.
System Access: ensure Podiem, and client systems remain functional and accessible; troubleshoot login or access issues.

4. Lead Quality Assurance (20%)

Lead QA: perform daily QA checks on campaign leads to verify they meet client standards and contractual obligations prior to delivery.
Lead No-Shows: follow up on lead no-shows and manage rescheduling workflows, coordinating with SDRs as required.
Data Hygiene: maintain accurate records within Podiem; flag any data integrity issues to the Account Manager for remediation.
SLA Compliance: ensure all lead feedback and QA outcomes are actioned within agreed SLA timeframes.

Professional Skills Required for Success in This Role:

Personal Assistant Aptitude: prior experience or strong aptitude for diary management, correspondence, and travel/expense administration; PA, EA, or administrative support experience highly regarded.
CRM & Systems Administration: proficiency in CRM management, MS Excel, and Google Workspace.
Client-Facing Communication: professional written and verbal English, comfortable liaising with international clients.
Organisational Skills: Exceptional organisational skills. Able to manage competing daily priorities across PA duties and campaign administration.
Attention to Detail: high accuracy in scheduling, lead QA, and data hygiene.

Pay: $60,000.00 – $65,000.00 per year
