Airport Development Group is seeking an experienced Executive Assistant to provide high-level support to the Chief Executive Officer and Executive General Manger, Commercial & Property.
This is a senior Executive Assistant role in a busy corporate and government-facing environment. The role requires a confident, professional, and highly organised individual who can manage competing priorities, maintain confidentiality, and communicate effectively with senior executives, Board members, corporate partners, government representatives, and internal teams.
You will provide high-level administrative, coordination, and stakeholder support to the CEO and EGM Commercial & Property. You will also support effective communication and follow-through across key business areas, including the coordination of priorities, actions, deadlines, meetings, and executive correspondence.
About the Role
The Executive Assistant will support the CEO and EGM Commercial & Property with diary management, meeting coordination, travel, correspondence, document preparation, stakeholder engagement, and executive administration.
This role requires strong judgement, attention to detail, and the ability to work confidently in a confidential and time-sensitive environment. You will be expected to anticipate priorities, manage competing demands, and support the smooth flow of information between senior leaders, internal teams, external partners, and government stakeholders.
Key Responsibilities

Manage complex diaries, meetings, travel arrangements, and expenses for CEO & EGM Commercial & Property.

Screen, prioritise, and coordinate emails, calls, correspondence, and meeting requests.
- Prepare, format, and coordinate Board papers, reports, presentations, briefings, and high-level correspondence.

Coordinate internal and external stakeholder meetings, including meetings with government agencies, senior executives, corporate partners, and other external stakeholders.

Support the preparation and processing of Capex applications, invoices, and purchase orders using TechOne,

Supervise the Office Coordinator and support day-to-day office operations.

Plan and coordinate key corporate events, stakeholder functions, executive meetings, and related logistics.

Act as a key liaison across Commercial Business Units, supporting clear communication, timely follow-up, and completion of agreed actions.

Maintain accurate records, filing systems, registers, and document management processes.

Handle confidential and sensitive information with integrity, discretion, and professionalism.
What You'll Bring

Demonstrated experience in a senior Executive Assistant role or comparable executive support position.

Experience supporting a CEO, Executive General Manager, Managing Director, Board Chair, or equivalent senior executive.

Experience preparing, formatting, and coordinating executive-level documents, including Board papers, briefing notes, reports, presentations, and formal correspondence.

Strong stakeholder engagement skills, including experience dealing with senior executives, Board members, government representatives, corporate partners, and internal business leaders.
- Demonstrated ability to work with discretion, judgement, and professionalism in a confidential and time-sensitive environment.

Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, Teams, and document management systems.

Strong written communication skills, attention to detail, and ability to track actions through to completion.

Ability to work independently, show initiative, and adapt quickly to changing priorities.
- Eligibility to hold an Aviation Security Identification Card, ASIC.
- Ability to pass an Australian Federal Police Check.
Desirable Requirements:

Qualifications in Business Administration or a related discipline.

Experience working in, alongside, or supporting government and regulatory environments.

Experience in aviation, infrastructure, property, commercial, or corporate environments.
- Familiarity with SharePoint and TechOne.
