Secure Lockers
Campbellfield, Melbourne VIC
Full-Time | Office-Based | Monday to Friday
$65,000 – $80,000 + Super, depending on experience
About Secure Lockers
Secure Lockers is a growing Australian business specialising in commercial locker and storage solutions.
We work across a diverse range of industries and projects throughout Australia, supplying everything from traditional locker systems through to smart and electronic locker solutions.
We’re a hands-on, growing team with a strong focus on getting things done, looking after our customers and delivering projects successfully.
We are now looking for an organised, proactive Operations Assistant to join our Campbellfield team and help keep our projects, orders, deliveries and installations moving.
The Role
This is a hands-on coordination role sitting at the centre of our day-to-day operations.
Once an order has been confirmed, you will help manage it through the next stages – from ordering and supplier coordination through to freight, delivery, installation and completion.
You’ll be communicating with suppliers, freight companies, installers, customers and our internal team to make sure everyone knows what is happening and, most importantly, that things happen when they are supposed to.
You do not need to be a freight, logistics or operations expert.
We can teach you our systems and processes.
What we need is someone who is highly organised, comfortable following people up, good with detail and willing to take ownership of getting things done.
What You’ll Be Doing
Your responsibilities will include:
- Placing orders with suppliers and issuing purchase orders
- Checking orders against specifications and project requirements
- Confirming order details, quantities, finishes and other requirements
- Monitoring production, dispatch and delivery timeframes
- Regularly following up suppliers and escalating delays where required
- Obtaining freight and transport quotes
- Coordinating freight bookings and issuing purchase orders to transport providers
- Tracking deliveries and making sure projects remain on schedule
- Coordinating delivery and installation dates with customers
- Booking and coordinating our network of installation subcontractors
- Making sure installers have the correct information, documentation and materials before attending site
- Confirming site access, dates and other installation requirements with customers
- Following up installations and making sure outstanding items are completed
- Updating job information and maintaining accurate records in our systems
- Assisting with general purchasing and operational administration
- Helping resolve last-minute issues that arise during the delivery of a project
- Occasionally checking off incoming deliveries or assisting with warehouse coordination
- Occasionally collecting supplies, dropping items at the post office or completing other operational errands as required
- Supporting other areas of the business when required
This is approximately a 95% desk-based role, however there may be occasional tasks outside the office environment as part of supporting day-to-day operations.
Who We’re Looking For
Experience is helpful, but attitude and organisation are more important to us.
You may already have some experience in administration, operations, logistics, purchasing, project coordination, construction administration, customer service or a similar role.
Alternatively, you may be relatively early in your career and looking for an opportunity where you can learn quickly and take on real responsibility.
You will suit this role if you:
- Are extremely organised
- Naturally follow things up rather than waiting for someone else to do it
- Like ticking things off and keeping jobs moving
- Are comfortable juggling multiple projects and priorities at once
- Have strong attention to detail
- Communicate clearly and professionally
- Are happy picking up the phone and chasing an answer when required
- Can build good working relationships with suppliers, customers and contractors
- Are comfortable taking ownership of a task from start to finish
- Notice when something doesn’t look right and ask questions
- Can remain calm when plans change or something unexpected comes up
- Are willing to learn
- Enjoy a varied role where every day may look a little different
We’re looking for someone who enjoys being involved, solving problems and making things happen.
Systems & Technology
You don’t need experience with every system we use, but you should be comfortable with computers and learning new software.
Our day-to-day systems include:
- Microsoft Outlook
- Microsoft Excel
- Microsoft Word
- Odoo ERP/CRM
- Freight and logistics portals
- Online supplier and ordering systems
- Modern productivity and AI tools where useful
Training will be provided on our specific systems and processes.
What We Offer
This is an opportunity to join a growing business where you will have genuine involvement in how projects are delivered.
You’ll gain exposure across purchasing, logistics, project coordination, supplier management, customer communication and installation management while working across projects throughout Australia.
You will be given the opportunity to take ownership, learn quickly and build experience across a broad range of operational functions.
For the right person, there is also significant scope for the role to develop over time into positions such as Operations Coordinator and potentially Operations Manager as the business continues to grow.
